**Responsibility and Authority**

**Key Tasks and Responsibilities**
- Provide technical and administrative support to Vendor Qualification Coordinator and Contract team members of the Supply Chain department.
- Provide administrative support to assigned manager/team.
- DocuSign Administration.
- CO Registers.
- VQ Processes.
- Assist the Vendor Qualification Coordinator to plan and organize the VQ within the SC department.
- Facilitate the collection of data and information regarding the VQ process
- Work closely with other departments to drive the completion of the evaluations in a timely and orderly manner
- Maintain vendor lists and IFS master data timely, correctly and ensure that data is adequate, correct and redundancy is eliminated
- Manage and archive back log.
- Maintain files stored in SharePoint
- Manage templates such as Vendor Request Form and Vendor Qualification questionnaires, and ensure the latest versions are available when/if requested.
- Assist to standardize file names etc.
- IFS data entry.
- Organize departmental meetings.
- Set up venue for departmental and client meetings.
- Additional administrative assistance, as needed.

**Requirements**:
**Education**
- Bachelor’s degree in Business / Supply Chain / Economics or Engineering with Procurement and/or HSEQ related major, or similar education
- Long relevant experience may replace formal education

**Experience**
- Ideally >5 years proven practical experience with purchase and procurement in the Upstream Oil & Gas Industry, preferably with specific experience in vendor qualification; vendor performance management; and QA/QC evaluation of vendors and contractors, including quality audits on vendors and contractors
- International working experience and experience from working in a multinational / multicultural society is preferred
- Experience with Risk Management and a solid understanding of risk is important

**Interpersonal Skills**
- Good interpersonal and communications skills
- Good diplomatic and trouble shooting skills with the ability to turn a problem into a challenge/solution
- Analytical skills combined with a structured approach to complex matters
- Meticulous to details

**Knowledge**
- Strong knowledge of best practice within Procurement scope and processes in the Upstream Oil & Gas Industry
- Basic knowledge of risk identification and management related to suppliers and commitments
- Basic knowledge of QA/QC evaluation of vendors and contractors including quality audits on vendors and contractors
- Strong research capabilities via various market platforms, search engines etc.
- Fluent in English (oral and written)
