As an **Office Manager & Administrative Assistant **, you will be playing an important role supporting our growing Latin America team. **Are you up to the challenge?**
- Oversee the office environment to ensure they meet company standards.
- Create an office budget and ensuring to follow it.
- Monitor office supplies and ordering new stationery, furniture, appliances, and electronics as required.
- Organize maintenance companies to keep the office clean and safe
- Support on the organization of internal and external events.
- Organize and schedule appointments and meetings.
- Resolve administrative problems.
- Onboarding lead for new office employees and organizing their employment paperwork.
- Perform other administrative support tasks
- Organize travel arrangements for senior managers.
- Act as a liaison between the sales leaders and their direct reports as well as within the senior management team
- Answer incoming telephone calls and handle accordingly. Must be able to handle confidential and time sensitive data
- Manage database/s of contacts (often in Outlook) for executive/s, proactively, ensuring the contacts are kept current.
- Receive vendor invoices, translate, GL coding and submit to AP for processing
- Maintain good working relationship with clients and employees, providing assistance or directing them to the appropriate department to resolve questions or issues
- May perform other duties as assigned
- Support Brazil Office Manager & Assistant as needed
- Preparation and maintenance of various documents and presentations.
**You should definitely have**:
- Some college degree, vocational training, or equivalent
- At least 5 years’ experience in a similar role
- Excellent English language skills both verbal and written.
- Must have exceptional attention to detail.
- Ability to handle sensitive information in a confidential manner.
- Strong organizational and time management skills, and ability to prioritize.
- Problem Solving abilities
- Excellent communication skills, and have an ability to take initiative, and prioritize daily tasks.
- Proficiency in MS Office Suite
- Strong interpersonal, collabo ration skills, and professional customer service orientation
- Attention to detail and accuracy, strong organization skills and demonstrated proactivity
**It would be nice if you had**:
- Spanish language skills
