About the Opportunity
We are looking for an
Administrative Specialist
to play a key role in supporting a large-scale warehouse operation. This position combines
hands-on execution and strategic thinking
, acting as a direct partner to site leadership and ensuring operational excellence through strong governance, data analysis, and structured processes.
This role is ideal for professionals who enjoy being close to the operation, working with data, managing critical contracts, and bringing structure, control, and efficiency to complex environments.
What You Will Do
- Plan, monitor, and control preventive, corrective, and predictive building maintenance activities (civil works, HVAC, plumbing), ensuring safety, quality, operational continuity, and cost efficiency.
- Structure, standardize, and document administrative and operational processes, ensuring clear workflows, ownership, and compliance with internal policies.
- Act as a key reference for operational compliance and governance, supporting audits, internal controls, and risk mitigation.
- Develop, track, and analyze performance indicators (KPIs), building dashboards and executive reports to support data-driven decision-making.
- Manage large-scale cafeteria and shuttle service contracts, including budget control, SLA management, supplier performance, renewals, and negotiations.
- Support budget planning and cost control, identifying opportunities for optimization and continuous improvement.
- Provide strategic and operational support to site leadership, acting as a bridge between operations, suppliers, internal stakeholders, and corporate teams.
What We Are Looking For
- Proven experience in a senior or specialist role within administrative, facilities, or operations environments.
- Solid experience managing cafeteria and shuttle contracts in operations supporting
1,500+ employees
. - Professional proficiency in English for meetings, reporting, and stakeholder interaction.
- Strong analytical and data-driven mindset, with the ability to translate data into actionable insights.
- Advanced Excel skills, experience with Forms, and the ability to prepare clear, objective executive-level presentations.
- Experience working in highly structured environments with strong governance, compliance, and internal controls.

- Experience in logistics, warehouse, or industrial operations.
