About the Role

We are hiring a 
Payroll and Billing Coordinator
 to support our internal operations at Motum. You will manage monthly payroll for our contractors, prepare client invoices in QuickBooks, and maintain accurate records across internal systems.

This role is highly operational and requires strong organizational skills, attention to detail, and comfort working with numbers. Your work directly ensures smooth payments to contractors and accurate billing to clients.

Responsibilities

  • Manage monthly contractor payroll in our internal system
  • Prepare and send invoices in QuickBooks based on established billing schedules
  • Reconcile payroll totals with invoice amounts to maintain accuracy
  • Track invoice status and follow up on pending client payments
  • Process contract updates, rate changes, and onboarding documentation inside Deel
  • Maintain accurate records of compensation, invoices, and payroll summaries
  • Calculate and update PTO balances based on defined company policies
  • Respond to contractor and internal questions regarding payroll timing and invoicing
  • Maintain clean and organized documentation at all times
  • Ensure all tasks are completed on schedule without needing repeated follow ups

Requirements

  • Proven experience using Deel for contractors (or extremely tech-savvy person that can learn fast)
  • 2+ years of experience with QuickBooks
  • Excellent written and verbal communication in English (C1-C2 level)
  • Strong organizational skills and attention to detail
  • Ability to work independently and manage deadlines
  • High attention to detail and accuracy in data entry
  • Comfort working in structured operational workflows

     Monday to Friday
  • Full-Time
    : 40 hours per week
