Segmento: Não InformadoAtividades:Acting as a central point of coordination, this role focuses on aligning administrative tasks, tools, and processes across regions to support the Global HR team's strategic objectives.This role actively supports employee engagement and wellbeing initiatives across multiple regions.Responsibilities:Vendor management and supervision for vendors in remote locations (e.g., health insurance providers, food vouchers).
Finding preferred partners for hotel accommodation and office sharing locations.Serving as a focal point for all administrative tasks in Malta as a remote location.Managing events for all remote locations (e.g., organizing Christmas parties, booking meeting rooms, team building activities).
Handling all global admin services including travel arrangements, accommodation, and meeting room bookings.Assisting the global HR team with ad-hoc HR administrative tasks.Driving and managing initiatives such as employee awards across all locations.Encouraging other company initiatives like recycling, tree planting, and supporting NGOs in various locations.Monitoring inventory of welcome packs and restocking supplies.Providing helpdesk support for the entire employee population and directing queries to the appropriate HR personnel.Supporting newsletters and global employee communications.Collaborating closely with HR, IT, and Finance teams.Acting as a liaison between legal, finance, and HR departments.Assisting with research on global HR requirements (e.g., salary & benefits benchmarking, online holiday gifting).
Managing administrative staff remotely.Requirements:Proven experience as an Administration Coordinator, preferably in an international environment.Deep understanding of office management procedures and legal policies.Familiarity with financial and facilities management principles.Excellent organizational skills with the ability to prioritize tasks and manage multiple projects.Strong written and verbal communication skills for interacting with diverse stakeholders in a multicultural environment.Problem-solving skills to identify issues, analyze situations, and implement solutions.Technical proficiency in Microsoft Office Suite; familiarity with Monday and BambooHR is a plus.Team player with leadership qualities.Our offer:Competitive salary based on skills and experience.Performance-based bonus structure.Private health insurance.Remote work possibility from Malta.
