Accounting & Administrative Coordinator Job DescriptionThe role involves overseeing financial operations, including invoicing, payment processing, and reconciliations.The ideal candidate will have a strong understanding of bookkeeping, financial workflows, and Excel/Google Sheets skills.Create, validate, and issue customer invoices in a timely manner.Manage invoicing workflows to ensure seamless transactions.Monitor incoming payments and perform payment matching to prevent discrepancies.Execute customer reminders and maintain updated follow-up tracking to enhance customer satisfaction.Verify and validate supplier invoices for accuracy and compliance.Ensure correct accounting allocation of supplier expenses to maintain financial integrity.Support the monthly payables closing process to ensure timely financial reporting.Perform reconciliations for multi-currency accounts to maintain financial accuracy.Assist with treasury tracking and cash flow updates to inform business decisions.Support bookkeeping functions, including analytical entries and financial statement preparation.Maintain and control financial data to ensure accuracy and reliability.Participate in quarterly closings to ensure timely financial reporting.Ensure compliance with internal financial processes to maintain financial integrity.Contribute to standardizing accounting processes across the organization to enhance efficiency.Participate in internal projects workflow optimization, automation, and reporting enhancement to drive business growth.Improve documentation and build a finance operational manual to facilitate knowledge sharing.The ideal candidate has at least 3 years of experience in accounting, a strong understanding of bookkeeping, reconciliations, and financial workflows, and solid Excel/Google Sheets skills.They should be able to work across multiple entities and currencies, have strong attention to detail, reliability, and autonomy, and have English required; Portuguese or French is a plus.Experience with international accounting environments is appreciated.
