We need a highly organized and proactive Project Support Specialist and Operations Assistant to support one of our key RevOps consultants on a high-stakes client account. This role is essential for ensuring seamless project execution, from organizing meetings and documentation to conducting research and managing relationships. You'll dedicate about 75% of your time to this critical account, working closely with executive-level stakeholders like CEOs and CROs to deliver exceptional results, while the remaining 25% will involve supporting general operations.
Responsibilities- Project organization for the account, including creating meeting agendas, sending recap emails, coordinating with the account owner, and formatting documents or slides for team sharing ensuring everything is polished, structured, and ready for high-level review.
- Attending client meetings to take detailed notes, capture key insights, and follow up on action items with a focus on accuracy and timeliness.
- Conducting research to support creative problem-solving , such as analyzing HubSpot, Salesforce, and KPIs to inform strategies and recommendations.
- Managing relationships with stakeholders, including attention to detail in communications, anticipating needs, and resolving challenges proactively.
- Handling assessments and challenges related to the project, ensuring all deliverables meet extremely high standards for executive-level CEO/CRO presentations.
- Exceptional English proficiency and outstanding communication skills to collaborate effectively with team leads, consultants, and high-level stakeholders like CEOs and CROs.
- Superb organizational skills , extreme attention to detail , and a proactive mindset to anticipate issues, manage multiple priorities, and drive projects forward without constant oversight.
- Advanced documentation skills , with the ability to create clear, structured, and error-free reports, meeting notes, and project-related materials that align with high professional standards.
- Expertise in crafting well-designed, visually engaging presentations (e.g., using PowerPoint, Google Slides, or similar tools) that effectively communicate complex ideas to executive audiences.
- Strong learning agility , with the ability to quickly grasp complex tools like HubSpot, Salesforce, and RevOps concepts, and apply them in real-world scenarios.
- Research expertise and creative problem-solving abilities to gather insights, synthesize information, and contribute to innovative solutions.
- Experience in relationship management , with a focus on building trust, maintaining professionalism, and handling sensitive, high-stakes interactions.
