Join BCD’s Hotel Solutions team and challenge the status quo Job Specific Essential Duties & Responsibilities Data Accuracy & Reporting Data entry of spend and cost savings into StarCite meeting management tool. Quality control of final budgets for accuracy in spend and savings reporting. Entry of final billing budget into Maconomy Completion of final reconciliation of program ledger and update of Analytix reporting to reflect final financial summary document Preparation of final labor reports Billing Identification of revenue variances between original and final bill Identification of billing opportunities to maximize revenue Monitoring of group balance transactions and making additional revenue adjustments as necessary Preparation of final closing invoice in Maconomy and closure of program Preparation of journal entries, job reallocations, revenue adjusting entries, and invoices as required Supplier Partnerships Resolution of billing discrepancies with vendors Collection of all hotel commissions due Evaluation of the accuracy and completeness of on-site billing Reconciliation of all vendor invoices against on-site billing documents and purchase agreements Review of vendor invoices and comparison against vendor contracts to ensure accuracy Project Management Management of billing reconciliation process for meeting and event expenditures. Work with planning leads to produce accurate final invoices. Execution of payments within client guidelines and policies. Performance of audit and file close-out procedures within customer-required timeline. Preparation of final billing according to client and internal guidelines. Review with the Program Manager and Account Executive and make changes as necessary. Communication Management and tracking of discrepancies, discounts, and/or credits and communication as necessary. Ensuring all required financial documentation is uploaded to the customer meeting management system. Providing the client with necessary backup and documentation upon request.
