Hardware Operations - Supply Chain - Administrative Assistant

About The Role
As a Supply Chain Administrative Assistant, you'll be responsible for managing the regulatory aspects of all international shipments. You will ensure physical deliveries happen on schedule and compliantly, applying applicable trade compliance rules, regulations, and policies to manage import/export operations worldwide. You will oversee logistics and transportation of vendor deliveries, work with international governmental organizations to facilitate smooth import of equipment, and collaborate with internal teams to improve processes using data analysis.

In This Role, You Will

  • Conduct pre-shipment research on trade and regulatory requirements for international shipments in collaboration with third-party vendors.
  • Audit shipping documentation and ensure compliance with FCPA and Anti-Bribery requirements, communicating with brokers and external partners.
  • Work closely with Legal and Tax teams to ensure compliant import/export operations.
  • Assist global team members to provide timely clearance instructions to customs brokers and resolve issues with shipments.
  • Review and ensure all commercial documents related to shipments are complete and compliant, including commercial invoices and trade documents.
  • Manage order entries via internal systems.
  • Support Tax and Customs audits in coordination with Legal and Regional Teams.
  • Collaborate with Client Trade Compliance and Third-Party Logistics Providers to ensure shipments comply with export/import regulations.
  • Perform due diligence on external parties as per legal requirements.
  • Monitor and manage PII and Denied Party Screening requests.
  • Maintain brokerage performance reports.
  • Coordinate and resolve issues with inbound shipments held at customs.
  • Research emerging markets to understand shipping and compliance regulations in new locations.

Work model: On-site in São Paulo - SP, requiring 5 days a week at a Cognizant or client office. We support work-life balance through various wellbeing programs.

What You Need To Have

  • Familiarity with spreadsheets, stock management, and forecasting.
  • Comfortable working in a rapidly-changing environment.
  • Excellent interpersonal and communication skills.
  • Experience in logistics, trade compliance, inventory, or warehouse management.
  • Knowledge of trade compliance rules and regulations.
