This position is intentionally called an “associate” and not a “receptionist” because we value the importance of connecting our people with each other, and the outside world. The Associate will thrive in a fast-paced environment juggling multiple tasks while assisting the WE team with different projects and the smooth and efficient operation of the office. This person will enjoy being flexible in taking on ad hoc duties as required.This position is an individual contributor role reporting to the Sr. Manager, Workplace Experience, EMEA & LATAM.**Responsibility**- Meet and greet visitors with an affinity for excellent customer service- Build relationships of mutual trust and handle complaints and concerns in an emotionally intelligent and constructive way- Assist with the new hire onboarding process welcoming new hires to the office and familiarizing them with their team neighborhood, office and building amenities and where to go when they have questions- Evaluate the need for and requisition adequate office supplies- Support local office Intranet site with forward thinking ideas and strong written communication skills- Coordinate with building and property management personnel and vendors to submit tickets for repairs, maintenance and miscellaneous requests based on employee feedback- Supporting vendor management for Workplace Experience Vendors, such as janitorial, food/beverage, maintenance vendors and more- Partner with HR, ERG groups and other key stakeholders in delivering employee-centric programs, services and events which build company culture- Partner with key stakeholders to organize local events that strengthen company culture and employee engagement.- Monitor and audit office cleanliness and functionality and proactively solution and communicate any issues that need to be addressed- Assist with improving DocuSign’s Environmental Corporate Social Responsibility by finding ways to reduce waste and implement eco-friendly solutions- Coordinate mail flow in and out of the office- Manage local office access badges and work closely with Security to help maintain a safe environment- Respond to emergencies to provide necessary assistance to employees, customers and building issues**Job Designation**:**In Office**:Employee works from the physical workspace 100% of the time.**What you bring**:**Basic**- 2+ years experience in office services, hospitality, reception, and/or facilities experience- Ability to work extended hours where necessary.**Preferred**- Previous Workplace Associate (reception) experience- Team player with a flexible mindset- Excellent verbal and written communication and interpersonal skills- General knowledge of Security standards- Attention to detail and data accuracy.- Ability to manage multiple initiatives simultaneously.
