Financial Operations Specialist We are seeking a meticulous Financial Operations Specialist to join our team. As a key member of our financial management team, you will ensure accuracy in our billing processes and support the organization's growth through efficient financial operations. Responsibilities: Collect and verify billing information from multiple internal sources to maintain data integrity. Generate accurate invoices using our ERP system to meet customer requirements. Manage billing discrepancies to resolve issues promptly. Vendor Invoice Processing: Receive and process vendor invoices related to specific projects to ensure timely payments. Verify invoice accuracy against purchase orders and contracts to maintain compliance. Request vendor payments according to agreed terms to foster strong business relationships. Project Tracking and Reporting: Maintain records of each project's financial status to provide accurate insights. Generate monthly reports on billing progress by project to inform strategic decisions. Collaborate with the controlling department to resolve financial discrepancies and improve processes. Monthly Closing and Reporting: Prepare and reconcile accounts for monthly closing to ensure financial accuracy. Generate detailed financial reports for management review to drive informed decisions. Assist in preparing presentations for monthly closing meetings to communicate complex financial information effectively. Analyze trends and propose improvements in billing processes to enhance operational efficiency. Data and Systems Management: Maintain accurate customer databases to support effective communication and service delivery. Update and improve billing processes in the ERP system to optimize performance. Ensure the integrity and confidentiality of financial data to protect the organization's reputation. Propose and implement improvements to billing systems to drive business growth. Interdepartmental Collaboration: Work closely with the sales team to ensure timely billing and meet customer expectations. Coordinate with the legal department to ensure contractual compliance and mitigate risks. Support the controlling team in financial analyses and internal audits to maintain financial transparency. Assist the customer service department with billing-related inquiries to provide excellent customer service. Professional Development: Stay updated on best practices in billing and finance to apply innovative solutions. Contribute ideas for process improvement and operational efficiency to drive business growth. Mentor new team members as needed to foster knowledge sharing and development.
