We are searching for the best talent for
Regional Administrative Assistant (Fixed term 7 months) to be in
São Paulo, Brazil.



Purpose:

Provide a consistent support to the Regional Directors and levels above to assure a great and efficient support for all administrative requests, such as:

You will be responsible for:

  • Agenda management (PG 41 and levels above).
  • Support with the systems requests: Iris, AskGs, Workda (PG 41 and levels above).
  • Coordinate meetings and events, internal and external such as: send the invite, choose the venue, book the room, order the equipment, food and all arrangement required, including book the hotel to the attendees, organize ground transportation, greet visitors, etc
  • Make travel arrangement: issue the ticket through the Concur system or internal travel agency, book the hotel, set up the ground transportation and fill out the subscription or travel information if needed.
  • Prepare expense reports through Concur system in accordance with local policies and followup the approvals.
  • Supervises and coordinate overall administrative activities and ordering office supplies.
  • Open requests in order to pay vendors and process the invoice (this activity will be in charge of Hub Admin Service from 2024 onwards).

Qualifications:

  • Bachelor's degree or equivalent.
  • Advanced English.
  • Excellent MS Office knowledge.
  • Experience working as administrative assistant or other equivalent position
  • Organizational Skills: Demonstrate discipline, organization and positive "can do" attitude to provide efficient deliveries.
  • Communication Skills: Effective communication in writing and verbally (Portuguese/English or Spanish/English) to internal and external stakeholders.
  • Interpersonal &

Collaborative Skills:
Interact with colleagues, clients, and stakeholders professionally, maintaining a positive and collaborative teamwork environment.

  • Problem-Solving: Identify and resolve routine administrative issues independently.
  • Sense of Urgency: Ability to multitask and prioritize daily workload.
  • Attention to Detail: High level of accuracy in handling and proofreading documents, data entry, and maintaining records.
  • Confidentiality: Maintain confidentiality of sensitive information and handle it in a professional and discreet manner.
  • Technical Skills: Proficient in using office software (Microsoft Office Suite), office
equipment (printers, scanners) and support systems (Iris, Workday,)
