Job Description:

We are seeking a detail-oriented and organized Travel and Expense Coordinator to join our team in São Paulo, Brazil. The ideal candidate will be responsible for managing all aspects of domestic and international travel arrangements and expenses for our employees. This role requires meticulous attention to detail, strong organizational skills, and the ability to work efficiently in a fast-paced environment.


Responsibilities:

  • Coordinate and manage travel arrangements for employees, including airfare, hotel accommodations, office space, dining, transportation, and entertainment.
  • Ensure compliance with company travel policies and procedures.
  • Verify travel visa requirements for employees traveling to and from different countries and assist with visa application processes as needed.
  • Work closely with travel agencies and vendors to negotiate rates and secure the best possible deals for travel and accommodations.
  • Process travel expense reports and reimbursements in a timely and accurate manner.
  • Maintain accurate records of travel expenses and invoices.
  • Provide support to employees regarding travel-related inquiries and issues.
  • Assist with the development and implementation of travel and expense management policies and procedures.
  • Stay informed about travel industry trends and regulations to ensure compliance and cost-effectiveness.


Requirements:

  • Associate’s or Bachelor’s degree in business administration or a related field would be a plus.
  • Proven experience as a travel coordinator, travel agent, or similar role.
  • Strong knowledge of domestic and international travel regulations, visa requirements, and booking procedures.
  • Excellent English communication (verbal, reading, and writing) and interpersonal skills.
  • Proficiency in travel booking platforms and expense management software.
  • Ability to multitask and prioritize tasks effectively.
  • Attention to detail and accuracy in data entry and record-keeping.
  • Strong negotiation skills and the ability to secure cost-effective travel arrangements.
  • Ability to work independently with minimal supervision.
  • Flexibility to adapt to changing priorities and deadlines.
  • Experience with international travel coordination and visa processing is preferred.
  • Willingness to travel, including international travel, for training and other events.
  • Flexibility to adjust travel preferences based on project needs.
