Position Summary Under the direction of the Director, Global Lead Transactions Paralegal, the Legal Assistant, LATAM will be a key team member of the Americas Legal team. Responsibilities include drafting agreements and amendments, drafting and reviewing NDAs, monitoring and managing workflow and assignments in ticketing system(s) and contract management system, validating redlined and executed contracts, route and track contracts and legal documents through electronic signature process and contract repositories, performing general office tasks (such as calendaring, docketing, and filings), and coordinating other legal administrative activities, as assigned. The position requires performance of assignments with a high degree of responsibility within the Legal department. The successful candidate will possess the ability to work efficiently and independently; manage high volumes of tasks and projects; react with appropriate urgency to situations and events that require a quick response or turnaround; and think creatively and be proactive in solving problems that affect people within the group or other related groups. The candidate will also be client-service oriented, has great attention to detail while still meeting tight deadlines, have great organizational skills, and the ability to easily switch gears. A high level of professionalism, integrity, and discretion in handling confidential information, as well as the ability to work well with people at all levels inside and outside the company, is essential. Essential Duties & Responsibilities Work closely with a team of in-house counsel, paralegals, contract analysts and other legal professionals in a variety of activities related to contracting and conducting business with clients, suppliers, and strategic partners. Assist with managing workflow and assignments in ticketing system(s) and contract management system(s) - validate redlined and executed contracts - prepare executables for signature from validated contracts - route and track contracts and legal documents through electronic signature process Assist in maintaining contracts template library and storing executed contracts Maintain organized electronic Legal files and records, including processing additions to and assisting in research of such files and records Maintain internal repositories and trackers Assist with special administrative projects, as assigned Word processing and other general administrative tasks Experience 2+ years of experience at a law firm or in-house legal department is desirable Experience in an administrative professional role is a plus Experience with Microsoft Office Suite, Adobe, ServiceNow and Smartsheet software is a plus Skills Excellent written and verbal communications skills Superior grammar, editing and proofreading skills Highly skilled at MS Office Suite (especially Word, Excel and PowerPoint) Experience working with ticketing systems, contract management systems, electronic signature software and PDF reader software Tech savvy Eager self-starter with a demonstrated ability to maintain focus and acute attention to detail, even when undertaking routine tasks - Fast learner who is able and willing to follow and master new processes and software applications Interact enthusiastically and professionally with all levels of personnel internally and externally Work both independently and collaboratively in a team Manage multiple tasks with varying priorities with a “can do” attitude and collegial, collaborative tone Ability to adapt and prioritize effectively in “real time” when faced with competing demands and deadlines Ability to work in a fast-paced environment Proficient in time management and organization Flexible work schedule Friendly demeanor and positive attitude Location and Travel Expectations Brazil, São Paulo Education Associate’s degree, certificate program or equivalent practical experience Bachelor’s degree is a plus Advanced English Language Fluent Portuguese and English.
