Job Overview

As a key member of our team, you will provide project-related support and assistance for assigned projects and project teams with minimal supervision. Your tasks will involve ensuring all work is conducted in accordance with standard operating procedures (SOPs), policies, and practices, good clinical practices (GCP), applicable regulatory requirements, and meets quality/timeline metrics.

Essential Functions
  1. Project Documentation Management: Establish and maintain all project documentation, including files, records, and reports, according to the scope of work and standard operating procedures (SOPs).
  2. Review and Audit: Assist with periodic review/audit of files for accuracy and completeness.
  3. Information Coordination: Coordinate and track all information, communications, documents, materials, and supplies for assigned projects.
  4. System Updates: Update and maintain internal systems, databases, tracking tools, timelines, and project plans with project-specific information.
  5. Discrepancy Identification: Identify and escalate discrepancies in project tracking data, timesheet coding, expense data billing, interpretation of financial figures, which may lead to identification of out-of-scope activities not previously reported.
  6. Reporting and Budgeting: Prepare and distribute status, tracking, and project finance reports, and assist the project manager(s) with budget allocation and approval of invoices.
  7. Meeting Coordination: Prepare presentation materials for meetings (internal/external) and project summary data.
  8. Team Collaboration: Coordinate project team and/or customer meetings, including logistics and materials required.
  9. Process Consolidation: Coordinate with other project support staff within and outside the Clinical Project Management Unit to identify and consolidate support processes.
  10. Backup Contact: Serve as primary backup contact for internal project team and for external stakeholders/customers as designated by project manager.
  11. Project Management: Undertake project management activities as directed by project manager.
  12. Mentorship: Train and mentor more junior project support staff.
Qualifications
  1. Education: Bachelor's Degree in life sciences or other related field required.
  2. Experience: Typically requires 0 - 2 years of prior relevant experience.
  3. Knowledge: Requires knowledge of principles, theories, and concepts of a job area, typically obtained through advanced education.
  4. Skills: Good communication and interpersonal skills, good problem-solving skills, results and detail-oriented approach to work delivery and output, good planning, time management, and prioritization skills, strong software and computer skills, including Microsoft Office applications, and ability to establish and maintain effective working relationships with coworkers, managers, and clients.
