Administrative Assistant

We are seeking an organized and analytical Administrative Assistant to join our global team. As a key member, you will play a crucial role in driving success by providing administrative support and ensuring smooth operations.

  • Manage facility and maintenance suppliers to maintain a good workplace order;
  • Request office administrative payments for electricity, rental, annual office taxes, water, telephone, internet, and other services;
  • Oversee contracts for telephones, security, cleaning, file storage, maintenance, and repairs;
  • Support meetings and conferences, order lunches, stock beverages, and ensure IT equipment is available;
  • Be responsible for administrative duties related to Company fleet, including billing, maintenance notification, ordering of vehicles etc.
  • Order office materials, supplies, and equipment as needed;
  • Send information to employees with instructions, procedures, and administrative rules;
  • Oversee the Rio office site and request preventive and corrective maintenance.

To be successful in this role, you must have:

  • Bachelor's degree from business administration or equivalent;
  • Previous experience in facility services;
  • Strong interpersonal skills, able to communicate and cooperate with employees and managers at all levels;
  • Advanced computer skills with emphasis on Microsoft Word, Excel & PowerPoint;
  • Good communication skills and command of English language (oral and written);
  • Ability to problem solve and suggest effective solutions;
  • High ethical standards;
  • Ability to prioritize work to meet multiple deadlines.
