Financial Project Specialist

The primary responsibility of this role is to oversee the financial performance of assigned projects. Key metrics include budget consumption, invoicing, and cash flow management.

Responsibilities:

  • Project Financial Analysis: Interpret and investigate financial results for assigned projects, identifying areas of improvement and providing recommendations for optimization.
  • Project KPI Management: Prepare, reconcile, analyze, and report project key performance indicators (KPIs), including level of effort (LOE), third-party budget consumption, milestones acceptance, invoicing, and cash receipts status.
  • Resource Management: Review actual and planned resources, flagging discrepancies to project managers and ensuring timely resolutions.
  • Project Closeout Reconciliation: Handle project closeout reconciliations, escalating issues as needed to ensure accuracy and completeness.
  • Data Analysis: Analyze financial and business data for assigned projects and contracts, identifying trends and areas for process improvement.
  • Collaboration with Project Managers: Coordinate with project managers on change orders, project status, resourcing, and budgets, ensuring seamless communication and collaboration.
  • Reporting and Communication: Assist in developing regular financial status reports for projects, communicating estimates to clients, and recording monthly revenue for contracts.
  • Contract Management: Monitor subcontractor and vendor contracts, acting as a liaison between internal and external stakeholders.
  • Project Meetings: Attend project meetings to support project managers and ensure accurate forecasting, tracking overall project health, including revenues, gross profit, receivables, and project closeouts.
  • Operational Procedures: Ensure that operational procedures are being followed by project teams, identifying and resolving violations as needed.
  • Report Validation: Validate reports obtained from projects, ensuring timely provision and accuracy.
  • Operational Support: Work with project team leads and program directors on operational support needs, setting up and leading project meetings, and assisting with resource plan baselines.
  • Exception Management: Review and manage exceptions, escalating to stakeholders as needed to ensure timely resolution.
  • Reporting and Distribution: Process and distribute reports, defining tool requirements and analyzing dashboard reports on every project created monthly.
  • Project Planning: Identify planned projects monthly and projects with level of effort (LOE) overage, escalating these to senior management for review and approval.
  • Invoicing and Payment: Schedule invoices and assist in their payment, ensuring timely processing and reconciliation.
