Job Title: Financial Operations Manager

About the Role

This is a high-ownership role for an expert in financial operations who thrives in a remote environment and enjoys leading others to operational excellence.

Key Responsibilities
  • Manage, coach, and mentor 2–3 bookkeepers while fostering a culture of ownership and accountability.
  • Perform regular quality reviews and coach staff on financial best practices, including client-specific standards.
  • Conduct 1 : 1s, performance check-ins, and ensure timely completion of client deliverables.

Client Relationship Management

  • Serve as the primary escalation point for complex client queries.
  • Support clients directly during transitions (e.g., from a retiring bookkeeper) and lead onboarding if necessary.
  • Ensure accurate and responsive communication, including written correspondence and live client calls.

Financial Oversight

  • Perform or supervise reconciliations for bank accounts, credit cards, loans, and vendor accounts.
  • Ensure timely and accurate reporting: monthly closes, balance sheet reviews, and journal entries.
  • Manage vendor payments and reconcile AP / AR activity as needed.

Process & Tools Management

  • Own task management in Asana, ensuring SOPs and workflows are followed and documented.
  • Maintain high-quality reporting and documentation using QuickBooks Online, Excel, and cloud tools.
  • Contribute to internal process improvement projects and cross-functional initiatives.

Strategic Contribution

  • Participate in leadership meetings and provide input on planning, growth strategy, and hiring needs.
  • Identify potential service improvements, automation opportunities, or workflow bottlenecks.
  • Work closely with senior management to support scalability and client satisfaction.
Requirements
  • 5+ years of full-cycle bookkeeping / accounting experience (U.S. or Canadian clients preferred).
  • 2+ years of experience managing accounting or bookkeeping teams.
  • Strong proficiency in QuickBooks Online (desktop knowledge is a plus).
  • Experience using Asana, Slack, Zoom, and G Suite tools.
  • Knowledge of Canadian tax systems and reconciliation processes is a major plus.
  • Strong verbal and written communication skills in English.
  • Proven ability to troubleshoot, prioritize, and problem-solve autonomously.
  • Strong understanding of remote work environments and digital workflows.
About You
  • You're an excellent bookkeeper yourself and know how to coach others to your standards.
  • You're passionate about leadership and can keep multiple projects moving forward.
  • You're calm under pressure, adaptable with shifting priorities, and thrive in a remote-first culture.
  • You're a great communicator—especially in writing—and value clear, structured collaboration.
