Bilingual Executive Assistant Job Opportunity

This role involves providing direct support to the São Paulo office and its demands, as well as supporting the leader's direct needs. The ideal candidate will possess excellent organizational skills, ability to manage complex schedules, meetings, and national/international travel arrangements.

The successful candidate will be fluent in English, hold a bachelor's degree in Business Administration or related field, and at least 2 years of experience as an Executive Assistant or in high-level administrative roles.

Key Responsibilities:
  1. Manage schedules, emails, and deadlines;
  2. Filtering information and following up on various topics with other team members;
  3. Plan occasional trips and events;
  4. Direct support to the São Paulo office and its demands;
  5. Support for the direct needs of the leader;
  6. Attend meetings;
  7. Prepare meeting minutes;
  8. Prepare various reports;
  9. Draft proposal letters (Engagement Letter);
  10. Register all leads and client records in the CRM platform;
  11. Keep the CRM updated with negotiation details with the Lead;
  12. Monitor internal platforms and tools at Drummond;
  13. Follow up on proposals with Leads;
  14. E nsure that all procedures and documentation are properly organized in the filing system.
