Job Opportunity: Lead Administrative Team

Job Summary:

The ideal candidate will lead a team of administrative professionals to ensure efficient day-to-day operations and high operational performance.

Key responsibilities include leading the administrative team, ensuring support processes align with company policies and procedures, managing legal compliance, monitoring fiscal documents, and maintaining proper documentation of expenses.

Key Responsibilities:
  • Lead the administrative team to achieve high operational performance.
  • Ensure timely issuance of Purchase Orders (POs) for procurement and services, and coordinate with suppliers for payment documentation.
  • Provide training and career development for team members, fostering engagement and a positive work environment.
  • Handle personnel administration tasks such as hiring, termination, vacations, medical exams, timekeeping, and PPE requisitions, following HR procedures.
  • Assist during inspections and support related demands.
  • Manage legal compliance related to client exemptions and permits, such as Funrural exemptions and license renewals.
  • Monitor and verify fiscal documents, including invoices and tax compliance with SEFAZ.
  • Ensure proper documentation of expenses via corporate cards.
  • Oversee accounts receivable, deposits, and payment indications for grain contracts and other financial obligations.
  • Maintain cleanliness and presentation of the unit.
  • Support audit processes, both internal and external.
  • Manage operational team processes, including performance monitoring, time tracking, and temporary staffing during peak seasons.
  • Assist in inventory management, including counting and verification, and ensure compliance with legal standards.
  • Handle client reconciliations for grain transactions, including resolving discrepancies and documenting adjustments.
  • Coordinate credit release requests based on commercial input.
Requirements and Qualifications:
  • Higher Education Degree
  • Basic Knowledge of People Management
  • Fundamental understanding of Fiscal and Accounting principles
