Job Overview

The Project Coordination Specialist will work on a permanent contract in Rio de Janeiro with a major company. The ideal candidate has solid experience in manufacturing and project management.

Key Responsibilities:

  1. Coordinate, direct, and oversee on-site projects/activities for project execution in accordance with contractual requirements.
  2. Ensure project plans are produced and updated regularly, including tools like Deltek and Planning and Execution Tool.
  3. Approve project personnel and equipment for assigned projects.
  4. Review and ensure Daily Progress Reports are distributed daily and address any issues that arise.
  5. Ensure the scope is completed within set timelines and to satisfaction.
  6. Participate in internal and client meetings to monitor and review project results.
  7. Deliver all project deliverables, including inspection reports, final reports, and project documents, to clients and relevant departments in a timely manner.
  8. Conduct the project kickoff meeting, project briefing, debriefing, and lessons learned.
  9. Conduct/Assist with preparation of Close Out Reports.
  10. Assist with site audits in line with corporate objectives.
  11. Attend and provide input to Operations Meetings & Weekly Management Meeting if required.
  12. Interface with clients and internal customers to meet project requirements.
  13. Liaise with engineering specialists and build relationships across various disciplines and levels of management.
  14. Responsible for delivering projects to program, timeline, and quality standards.
  15. Assist everyday operations, including assisting with store management, purchase invoices approval, office utilities, and team building activities.
  16. Lead, develop, and motivate the Operations Team with line management responsibility for selected members of the team.
  17. Support Corporate KPIs with respect to Staff Development and HR objectives.
  18. Ensure HSEQ procedures and standards are adhered to.
  19. Ensure personnel & equipment are sent out with appropriate certification.
  20. Support internal and external Quality Audits.
  21. Review and understand contractual terms and conditions and supporting compliance thereof.
  22. Creation & review of CTRs, including the use of cost/sell spreadsheets to determine margins.
  23. Assisting in proposal preparation/tenders/bids.

Required Skills and Qualifications:

  • Bachelor's degree or higher.
  • Advanced English - Required.
  • Experience in the oil and gas industry, with proven leadership and management experience in engineering projects.
  • Understanding and practical knowledge of the inspection, repair, and maintenance sector.
  • Solid management experience with first-class analytical skills and commercial/financial awareness.
