Job Description:

We are seeking a highly organized and proactive Assistant Project Coordinator to support the day-to-day operations of a fast-paced industrial equipment business.

The ideal candidate will provide direct administrative support to the business owner, manage logistics data, and ensure smooth communication with clients regarding their shipments.

This is a mid-level role requiring excellent attention to detail, strong coordination skills, and experience in global freight or international transport.

Responsibilities include:

  • Serving as the primary point of contact for updating clients on delivery timelines, freight tracking, and logistics status.
  • Coordinating and managing international and domestic shipping logistics, including ocean freight, trucking, and customs documentation.
  • Maintaining and updating shipping and delivery data in internal tracking systems and shared databases.
  • Liaising with freight forwarders, customs brokers, and port officials to ensure compliance and smooth flow of goods.
  • Monitoring shipment milestones and proactively resolving delays or exceptions.
  • Preparing and reviewing shipping documents, including invoices, bills of lading, customs forms, and certificates of origin.
  • Providing administrative support to the business owner, including scheduling, email follow-ups, and reporting.
  • Supporting project execution timelines by ensuring all logistical elements are handled on time and accurately.
Required Skills and Qualifications:

Two to five years of experience in international logistics, freight forwarding, or project coordination.

Solid understanding of U.S. customs regulations, import/export documentation, and international shipping processes.

Strong communication skills, with the ability to keep clients informed in a professional and timely manner.

Proficiency in Excel, shared databases (Google Sheets, Airtable, or similar), and email management systems.

Detail-oriented, dependable, and comfortable managing multiple shipments and clients simultaneously.

Ability to work independently, manage time zones, and handle changing project priorities.
