Group Events Coordinator

Key Responsibilities:

• Manage the reception of groups and events, maintaining up-to-date information regarding hotel activity.

• Develop contracts for groups and events, ensuring timely execution and compliance with established standards.

• Update rooming lists in the system, modify payment instructions, and input essential group information.

• Negotiate budgets with customers, providing clear explanations of hotel policies and services.

• Create event work orders in the system, including relevant details such as guest count, category, price, form of payment, company contact, and special notes.

• Conduct training sessions with group members, providing essential information about the group's requirements.

• Prepare monthly reports on group activities and update closing information for each group.

• Maintain regular communication with Account Managers, Sales Coordinators, Reservations, Front Desk, Department Parties, Hilton Meetings, and kitchen staff to ensure seamless coordination of events.

• Interact directly with guests or clients during their stay, addressing any concerns or needs promptly and efficiently.

• Participate in special events such as welcome tours, cocktail secretaries, and other activities that enhance the guest experience.

Requirements:

• Graduate or MBA in Management, Hospitality, and Marketing is preferred.

• Advanced English language skills are required for effective communication.

• Previous experience in sales groups and events, preferably in the hospitality industry, is advantageous.

• Ability to analyze and manage multiple tasks efficiently.

• Strong problem-solving skills to address unexpected situations effectively.

• Excellent organizational and planning skills to prioritize tasks and meet deadlines.

• Proficiency in computer applications, including Excel, PowerPoint, and Word, is necessary for data entry and report generation.
