As a key professional in our organization, we are seeking an individual to fill the role of Documentation Representative. This role is pivotal in ensuring seamless documentation processes.

Responsibilities:
  • The ideal candidate will be responsible for coordinating with shippers to ensure timely submission of Shipping Instructions and preparation of draft Bills of Lading.
  • They will also handle deviations from company procedures regarding BL clauses before printing OBLs.
  • A critical aspect of this role is issuing OBLs within 24 hours of vessel departure.
  • Additionally, they will manage document correctors, including Customs, Manifest, and OBL.
Freighting and Printing:
  • Key responsibilities include matching auto-freight from AT with agency collections to detect discrepancies.
  • Verification of differences with ZIM offices against agreements is essential.
  • They will also manage invoice ordering and printing.
  • Submitting OBL to Back Office within 24 hours of departure is a priority.
Documentation:
  • Timely handling of Impo/Expo manifests is crucial.
  • Preparing and sending Advices (A/N) is a key responsibility.
  • Loading/discharge information must be matched with terminal lists.
  • Submission of Expo Manifest no later than 24 hours after vessel departure is vital.
  • Handling Impo/Expo correctors within 24 hours or before Customs declaration is essential.
  • Demurrage billing management is also part of this role.
Internal Interfaces:
  • Coordination with Finance to match collections is necessary.
  • Proposing solutions for problems and bottlenecks considering clients' needs is vital.
