About the Role
We are seeking a highly skilled and organized Administrative Support Specialist to join our team. As an integral part of our operations, you will be responsible for providing exceptional support to our internal and external stakeholders.
Your Key Responsibilities
- Ensure the office environment meets company standards by overseeing maintenance and upkeep.
- Create and manage office budgets, ensuring compliance with established guidelines.
- Monitor and maintain office supplies, ordering new equipment as required.
- Organize and coordinate internal and external events.
- Schedule appointments and meetings, and resolve administrative problems in a timely manner.
- Onboard new employees, handling their employment paperwork and ensuring a smooth transition.
- Perform other administrative tasks as needed, including travel arrangements for senior managers.
- Act as a liaison between sales leaders and their direct reports, as well as within the senior management team.
- Handle incoming telephone calls, managing confidential and time-sensitive data with discretion.
- Manage databases of contacts, proactively updating information to ensure accuracy.
- Process vendor invoices, applying GL coding and submitting them for processing.
- Maintain positive working relationships with clients and employees, providing assistance or directing them to the appropriate department when necessary.
Required Skills and Qualifications
- Some college degree, vocational training, or equivalent experience.
- A minimum of 5 years' experience in a similar role, demonstrating expertise in administration and support functions.
- Excellent English language skills, both verbal and written.
- Exceptional attention to detail, with the ability to handle sensitive information in a confidential manner.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Problem-solving abilities, with excellent communication skills and the capacity to take initiative.
- Proficiency in MS Office Suite, with strong interpersonal and collaboration skills, as well as a professional customer service orientation.
