The role of a Documentation Specialist plays a crucial part in ensuring the smooth execution of documentation processes. This position is pivotal in handling all documentation-related issues, including shipping instructions, draft bills of lading, manifests, and correctors.

Responsibilities:
  • Documentation Coordination: Coordinate with shippers to ensure timely submission of shipping instructions and preparation of draft bills of lading.
  • Procedure Compliance: Monitor and control deviations from established procedures regarding bill of lading clauses before printing out the ocean bill of lading.
  • Document Submission and Amendments: Handle draft submissions and amendments efficiently to meet deadlines.
  • OBL Issuance: Issue the ocean bill of lading within 24 hours of vessel departure, maintaining high standards of accuracy and timeliness.
  • Document Correctors Management: Manage document correctors (Customs, Manifest, OBL) effectively to minimize errors.
Freighting and Printing:
  • Discrepancy Identification: Identify discrepancies between auto-freight from AT and agency collections.
  • Difference Verification: Verify differences with ZIM offices against agreements to ensure transparency and accountability.
  • Invoice Ordering and Printing: Manage invoice ordering and printing processes smoothly.
  • Deadline Compliance: Submit the ocean bill of lading to Back Office within 24 hours of departure, meeting critical deadlines.
Documentation:
  • Manifest Submissions: Handle impo/expo manifest submissions in a timely manner.
  • A/N Document Preparation: Prepare and send A/N documents accurately.
  • Loading/Discharge Information Matching: Match loading/discharge information with terminal lists.
  • Compliance Submission: Submit expo manifest no later than 24 hours after vessel departure, ensuring compliance.
  • Error Minimization: Handle impo/expo correctors within 24 hours or before Customs declaration, minimizing errors.
  • Demurrage Billing: Manage demurrage billing processes efficiently.
Internal Interfaces:
  • Cross-Functional Collaboration: Coordinate with Finance to match collections, fostering strong relationships.
  • Innovative Solutions: Propose innovative solutions for problems and bottlenecks, considering clients' needs and expectations.
  • Issue Resolution: Conduct regular meetings with CSM/CSR and Back Office to resolve issues promptly.
Requirements:
  • Academic Background: Academic background in International Trade is highly desirable.
  • Industry Experience: Experience in a global company or shipping industry is advantageous.
  • Technical Skills: Proficiency in MS Office, especially Excel, is essential.
  • Linguistic Competence: Excellent command of English (speaking, reading, writing) is mandatory.
