Job Description
**Why is this role important at Infobip?**

This role contributes to the achievement of organizational efficiency by managing the organization and running of the daily regional operations of regional company and regional offices communicating and coordinating with many different departments and stakeholders on a daily basis. Regional Senior Office Assistant helps senior managers and high-level executives maximize their efficiency by providing them with clerical and secretarial support, handling difficult assignments that requiring thorough knowledge of a department's operating policy and procedures, and have considerable contact with the vendors, contractors, customers, real estate personnel, etc. Person holds overall accountability to organize work of the office/ offices in the LATAM region, sort and distribute communications in a timely manner and use “back-office” computer systems.

**What will you be doing?**
- Develop, implement and improve office policies and procedures (and coordinate Office Assistantsor Front desk representatives) in ways that optimize procedures in one or more offices in the region.
- Sort and distribute communications in a timely manner.
- Manage and coordinate with other departments to ensure compliance with established policies, communicate on more complex office related issues with a wide range of departments and stakeholders.
- Support senior managers and executives with daily clerical tasks.
- Create and update records ensuring accuracy and validity of the information. -Schedule and plan meetings and appointments as necessary.
- Monitor level of supplies and handle shortages, utility payments.
- Coordinate(obtaining and renewing)government authorization for office operations on the premises.
- Coordinate the Visa ensuring process to employees(coordinate with both employee and agency obtaining and renewal of Visas).
- Manage office-related malfunctions, maintenance projects, and/ or renovation of offices when in need, organize and oversee facilities, services and maintenance activities; quick response to requests or issues.
- Provide general support to visitors.
- Coordinate and manage both in-house and external events.
- Managing accommodation availability and guest arrivals and departures when necessary.
- Managing end-to-end process of domestic business trips.
- Assists in all field activities locally (visiting banks, accountants, authorities, etc).
- Maintains contact with vendors, contractors, customers, real estate personnel, etc.
- Manage relationships with property owners, leasing partners, or shared space providers.
- Hold overall accountability to organize work of the office/ offices in the regions (if any) and coordinate work of Regional Front Desk Representatives.
- Maintain trusting relationships with colleagues, customers, and suppliers.
- Performs other duties as assigned.

Qualifications
**More about you**:

- You have1-3 years of work experience in administrative and office coordination roles
- You have academic background in administration, business, finance, accounting or related.
- You have great organizational skills, being able to quickly move your focus and multi-task.
- You are proficient in MS Office, especially in Excel.
- You are fluent in English, both spoken and written.
- You prefer a collaborative, fast-paced, entrepreneurial environment.
