Role
As an PR Admin Assistant, you will support the PR Manager and the Delivery Team in executing high-quality, client-facing services across Media, Podcast, Influencer, and Writing departments. You are a detail-oriented, proactive team member who ensures seamless operations, supports client deliverables, and contributes to team efficiency. Your role combines administrative support, project coordination, and client communication to drive the success of PR campaigns and internal processes. You play a vital role in maintaining organization, tracking progress, and enabling the PR Manager to focus on strategic leadership.

Responsibilities
- You will represent PFG [Publicity For Good] and our values and client-centric mission.
Administrative & Operational Support
- Assist the PR Manager in coordinating tasks and workflows across Media, Podcast, Influencer, and Writing departments.
- Schedule and organize internal calls, client touchpoints, and project planning meetings, including preparing agendas and taking notes.
- Maintain and update project management tools (e.g., Airtable, Slack, Google Drive, GHL) to ensure accurate tracking of deliverables and timelines.
- Support the creation and maintenance of SOPs, workflows, and documentation for delivery processes.
- Handle administrative tasks such as data entry, file organization, and report preparation to streamline team operations.
- Support with daily email management, including drafting replies, filtering priority messages, and maintaining an organized inbox.
Client & Campaign Support
- Assist with client onboarding, including preparing materials, setting up project trackers, and documenting client goals.
- Support the PR Manager in managing client communications, including scheduling check-ins and drafting follow-up emails.
- Track campaign progress, media metrics, and deliverables, ensuring alignment with client goals and deadlines.
- Compile and organize coverage books, monthly PR reports, and KPI data for review by the PR Manager.
- Assist with research for current topics and strategies.
Team Coordination & Process Optimization
- Facilitate cross-department collaboration by ensuring clear communication and task alignment among team members.
- Monitor and update task assignments, deadlines, and priorities in PM system.
- Support the PR Manager in onboarding and training new team members by preparing materials and coordinating logistics.
- Identify opportunities to improve internal processes and suggest optimizations to workflows or tools.
- Track client and team feedback to support continuous improvement in delivery processes.
Results
- Delivery team operates with greater efficiency due to organized workflows, clear documentation, and proactive support.
- Client deliverables are completed on time, with high accuracy and alignment with strategic goals.
- PR Manager has increased bandwidth to focus on strategic leadership and client relationships due to effective administrative support.
- Client satisfaction improves through timely communication, organized reporting, and seamless campaign execution.
- Team collaboration is enhanced through clear task tracking and communication systems.
- Internal processes are well-documented and easily accessible, supporting scalability and consistency.
Requirements
- Strong organizational skills and attention to detail in a fast-paced, high-volume environment.
- Excellent communication skills, both written and verbal, for interacting with team members and clients.
- Proactive problem-solving and ability to anticipate team needs.
- Team-oriented mindset with a commitment to supporting colleagues and contributing to a positive culture.
- Ability to manage multiple tasks and prioritize effectively under tight deadlines.
- Familiarity with project management and PR tools (e.g., Airtable, Slack, Google Drive, GHL, Cision, or similar).
- Proficient in Google Suite
- Comfortable learning and adapting to new software and workflows.
- Basic understanding of PR and media tracking processes is a plus.
Experience
- 1-2 years of experience in an administrative, project coordination, or support role (PR or marketing experience is a plus but not required).
- Experience in a fast-paced agency, startup, or client-facing environment is preferred.
- Demonstrated ability to manage tasks, track progress, and support team operations effectively.
The starting pay for this position is $780 USD.
