Our Brazil Office is currently seeking a highly motivated and experienced Operations Manager to join our dynamic team.

Main Responsibilities (include but are not limited to):

Operational Leadership

  • Efficiency and Compliance: Guide the team in operational excellence through regular training and adherence to work instructions, ensuring timely responses, accurate reporting, and proper use of the IRIS system, Integrated Management System, and all company policies, processes, and procedures. Overall responsibility for leadership and support, which enables the team and Region to meet and surpass KPIs and Quality Metrics.
  • Training and Development: Conduct initial and ongoing training for QC Coordinators (QCCs), maintaining minimal errors and supporting development. Ensure the gap analysis assessment is completed for all new starters and, as needed, for experienced coordinators.
  • IRIS Compliance: Oversee IRIS accuracy and compliance for the Region, ensuring client and inspector profiles, rates, assignments, and reports are up-to-date and meet Fulkrum standards. Operations Managers should become "super-users" of IRIS, driving continuous improvements throughout the team and the business.
  • Financial Oversight: Improve cash flow and reduce the Cash Conversion Cycle (CCC) by supporting Accounts and managing invoicing challenges between departments, reducing errors and minimising un-invoiced visits, ensuring POs and approvals are received on time, supporting credit control escalations, and reporting issues promptly and consistently to Senior Management. Identify areas for improvement between coordination and accounts, suggest process improvements, draft Corrective Action Reports (CARs), and support cash flow and credit control objectives.
  • Budget Management: Support the Regional Manager in budget maintenance, report on client activity levels, and drive financial efficiencies. Monitor and manage office expenses and personnel utilisation. Recommend improvements to the Regional Manager.
  • Gross Profit Targets: Ensure gross profit objectives by overseeing client and inspector negotiations, minimising reliance on agencies, and upholding service standards.
  • Growth and Client Engagement: Collaborate with Sales to highlight Fulkrum's capabilities and successes, recommend growth opportunities, and support the acquisition of new clients and service lines. Present IRIS and Fulkrum's strengths in client meetings to support business development.
  • Client Retention: Schedule reviews with key clients, addressing service quality and identifying any gaps for improvement. Maintain client relationships through regular communication and promptly address any issues to ensure satisfaction. Report concerns to the Regional Manager as needed.
  • CRM and Reporting: Document client interactions in Salesforce, compile monthly reports, and highlight successes, challenges, and key client insights for the Regional Manager.
  • Overhead Management: Regularly assess team workloads to maintain operational efficiencies, minimise redundancies, and support overhead budget goals. Propose staffing adjustments to the Regional Manager as required.

Team Development

  • Recruitment and Onboarding: Collaborate with HR to recruit and onboard new team members, ensuring resources and support are ready for a smooth start.
  • Performance and Probation Management: Lead 30-, 60-, and 90-day reviews for new hires, ensuring development aligns with company standards. Conduct regular performance evaluations and address skill gaps through targeted training.

Compliance & QHSE

  • Process Optimisation: Act as a "process expert" within Fulkrum, supporting the Integrated Management System (IMS) and continuous process improvements. Collaborate on IRIS developments and provide training for each improvement.
  • Focal Point: for QHSE and Compliance during internal/external audits, draft and implement CARs as necessary, support all IMS initiatives for process improvements.

Commercial

  • Proposal and Contract Support: Support bid preparation, draft project-specific execution plans and procedures, create/approve rate sheets, perform contract renewals, and support all other commercial requirements as needed.
  • Insurance and Compliance: Coordinate insurance documents, bank letters, and tax documentation, ensuring sufficient coverage for client projects.

Team Culture and Engagement

  • Team Building: Foster a positive and inclusive office culture, organising team events and maintaining a supportive environment. Promote retention through effective leadership and engagement initiatives.
  • Engagement: Drive any engagement survey initiatives and follow up on global, regional and local actions to ensure continuous engagement of the team.

Client Account Management

  • Client Service Reviews: Schedule meetings with key clients to evaluate service quality and implement corrective actions as necessary.
  • Business Development Support: Assist the Regional Manager and Key Account Managers in bidding, negotiating contracts, presenting to prospective clients, and identifying new business opportunities.
  • Growth and Forecasting: Monitor project forecasts, ensure proper onboarding of new clients, and communicate budget impacts to the Regional Manager and Finance Department.

Coordination Responsibilities

  • Client Support: Manage client requests for QA/QC, Engineering, and Project Support, ensuring prompt and accurate fulfilment.
  • Candidate Management: Source candidates, prepare them for interviews, and coordinate their placement, handling contractual and performance-related concerns throughout their assignments.
  • Service Level Agreements: Ensure adherence to all client SLAs and Fulkrum KPIs, negotiating inspector rates to support office margins.

Qualifications and Skills

  • Minimum 10 years of industry experience, with 5 years in a leadership role.
  • Extensive knowledge of oil and gas projects, both onshore and offshore.
  • Proficient in MS Office; CRM experience preferred.
  • Demonstrated client relationship management skills, with the ability to thrive in fast-paced environments.

Travel

Travel will frequently be required throughout the Region.

All personnel are informed of Fulkrum's Health and Safety policy and procedures during the onboarding process. Any HSE incidents must be reported and logged with the QHSE Manager, who will oversee and support any subsequent investigations.
