What will you be doing?

We are seeking a proactive and detail-oriented Virtual Assistant (VA) to support our Financial Controller and Finance team. The ideal candidate is highly organized, trustworthy, and able to manage a variety of administrative and financial support tasks. You will play a key role in ensuring that our finance operations run smoothly, deadlines are met, and all financial records remain accurate and up to date.

Key Responsibilities:

• Assist the Financial Controller with day-to-day administrative and financial tasks.
• Prepare, organize, and maintain financial documents and records.
• Assist with bookkeeping tasks, including data entry and reconciliations.
• Track and categorize company expenses and ensure proper documentation.
• Help prepare invoices and follow up on outstanding payments.
• Assist in compiling monthly, quarterly, and annual financial reports.
• Support payroll preparation by gathering and verifying information.
• Communicate with vendors, contractors, and internal stakeholders regarding financial queries.
• Organize and maintain digital filing systems for financial documentation.
• Perform other ad hoc administrative tasks to support the finance team.

Requirements

What will you bring?

• Proven experience as a Virtual Assistant, Administrative Assistant, or similar role.
• Basic understanding of accounting and bookkeeping principles (experience in finance roles is a plus).
• Proficiency in Google Workspace (Sheets, Docs, Drive) and accounting tools (e.g., QuickBooks, Xero, or similar).
• Strong organizational and time-management skills with attention to detail.
• Ability to handle sensitive financial information with the utmost confidentiality.
• Excellent written and verbal communication skills.
• Self-motivated and able to work independently with minimal supervision.
• Strong problem-solving and multitasking abilities.
• Must be able to work EST timezone
