Job Overview
The WorldEd
Academic Program Coordinator
is responsible for managing the relationship and ensuring the academic success of students and schools that are part of WorldEd's international education programs.
The role requires liaising
between WorldEd, partner schools, students, and teachers, guaranteeing high-quality program implementation and alignment with both local and international educational standards. This role includes
semiannual in-person visits
to every partner school (with occasional
weekends) to deliver training, nurture relationships, ensure quality, and engage students.
Most work during the year is office-based (hybrid), supporting schools remotely
, monitoring progress and timelines, coordinating with partner-school coordinators and teachers, and ensuring a smooth, high-quality experience for everyone involved.
Key Responsibilities
Partnership Management
- Serve as the
 primary point of contact
 for partner schools; build trusted, long-term relationships with coordinators, teachers, and students.
- Plan and conduct
 on-site visits
 (with occasional weekends) to deepen relationships, align expectations, training, and drive action plans.
- Coordinate with school leadership, teachers, and administrative staff to ensure smooth program implementation.
- Provide
 daily support
 through diverse communication channels (WhatsApp, email, etc.) to address concerns, provide updates, and maintain strong partner satisfaction.
Program Implementation
- Oversee integration of WorldEd curriculum, resources, and instructional technology into school practice.
- Ensure proper use of materials and methodologies and alignment with WorldEd standards and accreditation/curriculum guidelines.
Academic Support
- Provide ongoing academic guidance and in-person training/PD during school visits; deliver webinars/workshops throughout the year.
- Monitor
 daily and term-level indicators
 (attendance, accomplishments, pending activities, delays, grades, deadlines); proactively flag risks and coordinate targeted interventions to uphold rigor and on-time completion.
- Troubleshoot academic/technology issues and escalate to specialists when needed.
Student Engagement
- During visits,
 connect directly with students
 through talks, clinics, and academic challenges/contests; promote practices that boost persistence and completion.
- Partner with school staff on extracurricular initiatives that enhance learner experience and outcomes.
Quality Assurance
- Ensure compliance with WorldEd academic policies, including academic integrity, attendance, and grading, by setting expectations, monitoring evidence, and investigating/escalating incidents with corrective actions.
- Regularly evaluate the academic performance of partner schools, ensuring adherence to WorldEd's academic goals and standards.
- Conduct online and on-site quality checks during visits (classroom observation, evidence reviews, feedback loops) and define corrective actions.
- Gather structured feedback from teachers, students, and administrators to inform continuous improvement and PD priorities.
- Maintain alignment with international standards and accreditation expectations across implementations.
Documentation & Reporting
- Maintain complete, auditable records of partner-school performance, faculty training (attendance/feedback), interventions and outcomes, and student progress across terms; keep LMS/SIS and shared trackers current.
- Build concise reports and dashboards (attendance, completion, grades, risks, satisfaction) on a regular cadence; provide timely updates to partner stakeholders and WorldEd leadership with clear insights, decisions, owners, and due dates.
- Ensure all partner communications, issues, and decisions are properly registered and tracked to closure in LMS/SIS or shared trackers, and
 promptly escalate major risks or incidents
 to academic leadership.
Qualifications
Required
- Bachelor's degree in Education or related field (Master's preferred).
- 4+ years in academic coordination/operations, program management, or teaching; experience with international or multi-system school partnerships strongly preferred.
- Strong project/program management; ability to manage multiple schools and priorities across a travel schedule.
- Willingness and ability to travel regularly, including weekends
 , for
 semiannual visits to each partner school
 (and additional visits as needed).
- Excellent communication and interpersonal skills;
 high-energy presenter and facilitator
 who connects quickly with diverse audiences.
- Fluent in English and basic Portuguese.
- Familiarity with international education standards, accreditation processes, and curriculum implementation.
- Proficiency with LMS/online learning platforms and data dashboards; quick to learn new systems.
Preferred
- Experience working across different countries/educational systems. In special USA K-12 system.
- Demonstrated ability to design and deliver PD/workshops that drive classroom adoption.
- Knowledge of instructional technology best practices in blended/online environments.
