We are seeking a highly organized and proactive Bilingual Operations Coordinator to oversee daily scheduling, staff coordination, client communications, and operational compliance for both companies.

Key Responsibilities

  • Coordinate daily operations for both companies, ensuring smooth scheduling for dog walking, daycare, and add-on services (e.g., grooming, training, agility, slat-mill sessions).
  • Communicate with clients and staff across all channels (phone, email, WhatsApp, CRM messaging) — primarily in English, with occasional Portuguese.
  • Monitor staff hours to ensure compliance with local labor laws (no payroll duties).
  • Confirm daily dog attendance in TimeToPet and Gingr; follow up with clients on confirmations and no-shows.
  • Track and maintain compliance records, including vaccination proof and temperament tests, using CRM systems.
  • Coordinate with the social media team to ensure content is collected and shared promptly.
  • Be available during busy business hours to accommodate last-minute changes or emergencies without disrupting overall operations.
  • Proactively suggest improvements to workflows, communication, and scheduling processes.
  • Handle urgent behavioral or incident reports only in emergencies.
  • Gradually take on limited decision-making authority for schedule changes and rescheduling within company policies.

Requirements

  • Fluent in English and Portuguese (spoken and written).
  • Strong organizational, communication, and problem-solving skills.
  • Comfortable using CRM platforms (TimeToPet and Gingr) — training provided.
  • Ability to work independently and remain available during Astoria, NY's peak business hours.
  • Professional, detail-oriented, and proactive in managing daily operations.
  • Must sign a Confidentiality and Non-Disclosure Agreement.
  • Prior pet care experience not required — training provided.

Contract Details

  • Independent contractor role (freelance).
  • Hourly compensation, with daily hour logging in CRM.
  • Fully remote position, but must be reachable during business hours.

Job Types: Full-time, Part-time

Pay: R$2, R$3,500.00 per month
