What this role is:
You will be the right-hand person for several global Sales Leaders. You will manage the selected Sales leader’s time, provide them with the information they might need and solve any issues you see coming before they happen. You are the point person to make sure the day goes smoothly.
What this role isn’t:
This role isn’t about running to get coffee or dry cleaning. If something needs to be done, you’re the person who makes sure it gets taken care of. You might need to set up a meeting with teams in Argentina, Chile, Colombia, Mexico and make sure the time works for everyone. That's not as easy as it might sound.
What you’ll bring to the table:
To be successful in this role you will need to stay organized and keep calm under pressure. Working at a software company can be a lot of fun but we move fast and that means you need to move faster. You should be able to understand what tasks need to be finished and be able to shift quickly when plans change.
Some details about what you will do:
- Provide high level support to the executive and manage complex, ever-changing calendars
- Plan, organize and prepare for complex meetings including communicating meeting details to members, arranging meeting venue and equipment/catering needs, compose and/or work with others to prepare agenda, ensure relevant materials are ready for meetings and/or review, providing day-of-event support, etc.
- Light project/process management, including onboarding for team member, team activities, etc.
- Create and revise complex PowerPoint presentations; incorporate content from multiple contributors; drafts, reviews, and edits content to deliver a cohesive final and accurate document
- Work diplomatically with contributors to negotiate timely delivery of projects and appropriately escalate issues to ensure deadlines are met.
- Provide travel support including making global travel arrangements, preparing trip itineraries, gathering receipts and submitting for reimbursement, and/or maintaining records for filing personal taxes, as applicable.
- Assist in the budget administration process, invoice administration and monthly credit card reconciliation.
- Anticipate potential outcomes of actions or decisions, consult with the executive take appropriate action to ensure outcomes are consistent with objectives
- Act as a proactive trouble-shooter with responsibility for making correct and often rapid judgments about forwarding questions and requests to managers
- Research, obtain and analyse gathered information to resolve problems
- Track progress of issues and projects to final resolution
- Collaborate with others across the Genesys to achieve goals (including department, division and individual goals) in support of the mission
**Requirements**:
- You should have 8+ years of corporate experience working as an Executive Assistant
- Must have experience supporting C-level Executive
- You should be able to converse and get along with all levels of management. You never know who you’ll be setting up a meeting with tomorrow
- You need to be able to focus on the success of your team not just getting your checklist done
- You can be trusted with sensitive confidential information
- Demonstrate a high degree of professionalism and confidentiality
- Outstanding customer service skills
- Work experience demonstrating the ability to exercise a high degree of discretion
- Ability to prioritize, meet tight deadlines, and effectively handle changing priorities
- Highly organized and ability in managing multiple work assignments simultaneously
- Ability to work both independently, with guidance and direction from manager, or as part of a team as the situation requires
- Exercises independent judgment when making decisions on matters of significance
- Proficiency in keyboarding with outstanding spelling, proofreading, punctuation and grammar
