- Receptionist is in charge of preparing the front desk report for that particular day and acts as Officer In-charge when the Supervisor is unavailable, ensuring compliance with existing Personnel Policies, Rules & Regulations, and logging any incidental reports.
- Call the attention of personnel for noncompliance with their assigned duties.
- Ensure that the front desk is in proper order and maintain its cleanliness.
- Responsible for accommodation, booking/reservation, and answering inquiries.
- Register guests and assign rooms; accommodate special requests whenever possible.
- Knowledgeable in room locations, types of rooms available, and room rates.
- Use suggestive selling techniques to sell rooms and promote other services.
- Coordinate room status updates with the housekeeping department by notifying them of all check-outs, late check-outs, early check-ins, and special requests.
- Possess a working knowledge of hotel room reservations; take same-day reservations and future reservations when necessary; know cancellation procedures.
- File room keys and T.V. remote controls.
- Know how to use Front Office equipment.
- Post and file all room charges to the appropriate guest’s billing forms.
- Process guest check-outs.
- Act as a telephone operator and observe proper telephone etiquette.
- Act as a Tele-marketer and have knowledge in handling reservations and queries about function rooms, coordinating with the Supervisor and Marketing Officer.
- Function as front office cashier.
- Use proper mail, package, and message handling procedures.
- Read and initial the pass-on log and bulletin board daily; be aware of daily activities and meetings taking place in the hotel.
- Endorse all important information needed, including the total cash sales and CID, to the next shift receptionist.
- Maintain the cleanliness and neatness of the Front Desk area.
- Perform other related tasks assigned by the immediate superior.
