We are seeking a skilled and detail-oriented Project Coordinator to support the Transition Manager in overseeing and executing IT-related projects. This role involves coordinating project priorities, managing meetings, tracking deliverables, and ensuring milestones are met on time and within budget. The ideal candidate brings strong project management capabilities, excellent communication skills, and proficiency with Microsoft tools such as Project, Excel, Visio, and Teams. Responsibilities:
- Assist Transition Manager in performing project management activities.
- Be able to run a small project
- Coordinate project priorities across multiple tracks and drive the project forward
- Coordinate, schedule and facilitate client and internal meetings and weekly status reporting
- Follow established standards and procedures for project reporting and documentation
- Drive consistent communication and project standards internally within the project team and externally with the customer
- Act as a point of contact for all project administrative tasks for the assigned project
- Utilize MS tools including Teams, Project and spreadsheets to track budgets, schedules, and other information
- Set up and manage processes for contract management, financial management, scope management and other elements of the project management processes
- Oversee progress to ensure goals are met on time
- Create and manage project deliverables, milestones and required tasks per the schedule
- Coordinate and respond to requests for changes from the original specifications
- Build and maintain positive working relationships with vendors and external/internal customers
Required Skills/Knowledge:
- Strong Project Management skills; expert in organizing, planning and managing large-scale projects
- Ability to analyze project needs and determine resources needed to meet objectives
- Excellent communication, organizational, leadership, time management skills
- Exceptional verbal and written communication and project management skills, including an ability to communicate effectively at an executive level
- Ability to prioritize and manage work and trade-offs against critical timelines in a fast-paced environment
- Builds a strong internal and external network of relationships to identify issues and opportunities
- Demonstrated experience in analyzing a business issue and developing a future state recommendation
- Highly developed skills in using MS applications including Project, Visio, Excel/SharePoint/Teams
- Understand and create process flows (swim lanes, flowcharts) and technical diagrams
- Data analysis using charts, pivot tables, filters and rules; knowledge of basic to advanced Excel functions
- Ability to set agendas and facilitate meetings with focus on critical path topics and decisions
- Strong negotiation ability and attention to detail
- Strong teamwork and interpersonal skills
- Multi-tasking and time-management skills, with the ability to prioritize tasks
- Highly organized and detail-oriented; ability to work independently
- Ability to work in a virtual, cross-cultural team across time zones; matrix reporting lines
- Ability to travel up to 50% (no travel during COVID)
- 10+ years of information technology and business experience
- Bachelor’s degree in IT, Business Administration, Engineering or related discipline with an IT focus
- External project management certification such as PMP or similar is preferred; ITIL Foundation Certified is a Plus
