**Key Responsibilities**
- Acts as an extension of the LATAM President and works closely with the LATAM senior management team to get initiatives, tasks and complex projects done
- Supports the LATAM Global Manager with reporting, planning, budgeting and support the leader in logistics for meetings, agendas, events and team routines.
- Provides extensive calendar management including organizing regional/global Teams meetings, across various time zones, to assist with prioritization and enable team activity and engagement.
- Participates on management calls being responsible for organizing meeting minutes, pre-work and follow-up on actions with owners
- Organize monthly and quarterly regional and country leadership meetings to ensure collaboration across the teams on a regular basis
- Works with management to ensure all meetings are prioritized correctly, arranged and prepared for. Publish agendas, attend meetings and take notes/record action items to distribute to participants.
- Proactive forward planning of diaries to ensure travel plans and meetings are scheduled and updated and that conflicts are resolved promptly.
- Preparing and presenting reports on company profits and performance to inform key decisions
- Support the LATAM Global Manager to manage key projects in resource allocation, productivity, and business efficiency
- Maximizes the LATAM Global Manager's time efficiently by ensuring diary is well organized, appointments are scheduled, and materials are prepared to an excellent standard
- Supports the LATAM Global Manager in establishing and evaluating the region sales and marketing strategies and plan by analyzing and assembling sales forecasts, updating calendars, and organizing and planning promotional presentations
- Maintains files, records, calendars, and diaries; typically arranges business travel, coordinates meeting arrangements, tracks expenses, POs process, etc.
- Participates in the development and implementation of process standards, policies and practices for the organization. Devises strategies, policies, and procedures in collaboration with CEO and board of executives
Experience Required
- Bachelor's degree required
- 5+ years of experience s Executive Assistant is mandatory
- Masters Microsoft Office and other office productivity tools, particularly Word, Excel, PowerPoint, audio/video, etc. with aptitude to learn new software and systems.
- Strong analytical and organization skills
- A proactive planner and thinker, well organized and methodical, able to identify inefficiencies/duplication
- Creative problem-solving skills, ability to follow-through, complete analysis, prepare well in advance, as well as the ability to think ahead
- A strong communicator (both written and oral), a good listener and a professional telephone manner.
- Confident ability to work with strong personalities and 'manage up' when required.
- A team player with a proven ability to prioritize workload and deadlines. Also, the ability to work autonomously.
