Sales and Client Coordinator

Key Roles and Responsibilities: Sales and Client Coordination You will be responsible for managing client communications, tracking sales opportunities, preparing key documents, and collaborating with internal teams to ensure smooth and successful client engagements. Attend prospect and client calls using AI-powered notetakers to capture detailed notes, key points, and next steps. Log updates in CRM software within 2 hours to maintain accurate records. Prepare tailored sales dossiers, meeting briefs, and follow-up materials to ensure well-informed client interactions. Coordinate with internal teams — including founders, delivery, legal, and finance — on contracts, invoicing, and client deadlines to prevent bottlenecks. Sales Outreach and Pipeline Management Conduct research on target accounts, prospects, industries, and competitors using business intelligence tools. Launch personalized outreach campaigns to drive engagement and book qualified discovery calls. Maintain a clean, organized CRM and sales pipeline, running consistent follow-ups via email, phone, and other channels to nurture leads and progress deals. Contract and Post-Sale Coordination Draft, manage, and track service-level agreements, non-disclosure agreements, and contracts through signature, collaborating with finance on billing and invoicing. Provide support for post-sale issues, capture feedback, identify upsell opportunities, and escalate concerns to relevant teams. Reporting and Process Optimization Build weekly dashboards and reports highlighting stuck deals, upcoming renewals, and at-risk follow-ups. Conduct quarterly win/loss analyses to improve sales effectiveness. Automate repetitive tasks and workflows using business process automation tools, while suggesting process improvements to streamline the sales cycle. Relationship and Client Engagement Track client birthdays and milestones, sending personalized messages or small gifts to strengthen relationships. Support account executives in maintaining consistent, meaningful communication with prospects and clients. Requirements We are looking for individuals with: 2+ years of experience in sales support functions (e.g., sales assistant, client enablement specialist, account coordinator, sales operations, inside sales, or executive assistant supporting sales leaders), preferably in B2B tech or consulting. Excellent organizational, note-taking, and communication skills. Strong verbal communication skills and confidence in client-facing interactions. Proficiency in CRM software (preferred) and Google Workspace. Proactive, detail-oriented, and resourceful — able to anticipate needs and stay two steps ahead.
