Sales Coordinator Job Summary This role will play a critical part in supporting the sales team by managing administrative tasks, maintaining CRM accuracy, coordinating schedules, and ensuring seamless follow-up processes. Key Responsibilities: Maintaining and updating CRM with accurate lead information, call notes, and pipeline status Inbound application grading for prospects Scheduling and coordinating sales calls, follow-ups, and client onboarding activities Send follow-up emails, texts, and reminders to prospects on behalf of the sales team Managing sales collateral, proposals, contracts, and presentation materials Tracking KPIs, generating sales reports, and maintaining dashboards for team visibility Handling administrative tasks including calendar management, data entry, and file organization Supporting lead nurturing campaigns and re-engagement sequences Coordinating communication between sales team members and other departments Expected Outcomes: 100% CRM accuracy with timely updates on all lead activities and deal stages Zero missed appointments or follow-ups due to scheduling or administrative errors Consistent tracking and reporting of sales metrics, pipeline health, and team performance Improved sales team productivity through efficient administrative support and coordination Clear and proactive communication with the team on priorities, deadlines, and action items Tangible contribution to revenue goals by enabling the sales team to maximize selling time Requirements: Proven experience as a virtual assistant, sales coordinator, or in a similar administrative support role Strong organizational and time management skills with ability to handle multiple priorities Excellent written and verbal communication skills with professional demeanor High attention to detail and commitment to accuracy in all tasks Proficient with CRM systems (GoHighLevel, HubSpot, Close, or similar platforms) Comfortable with sales tools including scheduling software, email platforms, and project management systems Self-motivated and proactive with ability to anticipate needs and solve problems independently Reliable internet connection and professional remote work setup Adaptable and quick learner who thrives in a fast-paced sales environment Agency or PR/marketing background is a plus
