PROJECT CONTROLLER

POSITION SUMMARY

In this position, you will be responsible for providing a high level of customer service to segment A customers, in English.

Additionally, this role oversees the entire post-sale process, including local logistics and monitoring customer project installation.

This position works in conjunction with the project coordinator, who coordinates the installation of high-end luxury products

Be the point of contact with client during the whole Post Sales process providing high level attendance to client.

Keep all the worksheets controls updated.

Coordinate the Logistics and Installation process of the Company.

ESSENTIAL DUTIES AND RESPONSIBILITIES

International Logistics:

  • Manage international shipping of goods
  • Verify factory confirmations on weekly basis to ensure order is properly matched
  • Coordinates the arrival of order in Miami by maintaining Container program on Excel
  • Quote and hire container/air shipment prices with providers
  • Inform client status of his order providing high level attendance

Inspection:

  • Contact client to verify job site conditions and define inspection schedule date.
  • Manage Project Coordinator schedules to visit job sites prior to installation and verify that conditions are suitable to begin work.
  • Manage inspection reports and get Project Coordinator's conclusion to start installation.
  • Manage troubleshooting and solutions in course with Project Coordinator to get job site ready

Local delivery:

  • Manage warehouse facility information
  • Book White Glove Delivery Company setting up the delivery schedule, time frame and delivery conditions.
  • Provide certificate of insurance.
  • Schedule deliveries to the job sites for installers to work.
  • Appointments with buildings.
  • Contact client to confirm delivery.

Installation:

  • Prioritize and coordinate installation schedules with Installers and Project Coordinators.
  • Follow up with Project Coordinators daily about the work in progress.
  • Ask and be responsible to file WTI & WTC reports and get Project Coordinator's conclusion.
  • Schedule walk through on last day of installation with installers and client.
  • Guarantee that the results of Walk-Thru have been sent to GC and/or client.
  • Guarantee that the Tecnica Form have been filled out and make sure that
  • it covers all the issues reported.
  • Track Tecnica status to keep deadlines with client.
  • Coordinate local solutions

Departament Controls

  • Keep Excel sheets controls updated daily (Container Programing and Tecnica Control)
  • Guarantee the flow of the process
  • Guarantee the everyone are following procedures
  • Analyze Ornare Care Dashboard
  • Allocate Tecnica / Errors per department, cause and employee.
  • Manage Ornare Care budget using DRE report.
  • Prepare and Manage payroll and commission of the installers and supervisors
  • Update Monthly End Ornare Care report.

SKILLS, EXPERIENCE AND QUALIFICATIONS

  • Bachelor diploma in following areas: Architecture, Engineering, Project Management
  • At least 5 years experience in Project Management or at least 2 years as Architect or as an Engineer
  • Ability to think logically and plan ahead
  • Ability to coordinate duties, timelines, schedules
  • Ability to persuade and empathize with clients to gain their trust
  • Ability to write reports and correspondence
  • Ability to apply basic math skills to calculate dimensions, weights, modules
  • Proficient with MS Office (Word, Excel, Outlook)

Fluent in English and Spanish; Portuguese a plus
