Responsibilities

• All client invoices, up to fifty (50) per month, are accurately created and sent on time, in alignment with contract-defined due dates. Accounts Receivable Specialist ensures client invoices, whether first-time or recurring, are created accurately and sent by the appropriate date- either per the contract or standardized schedule. Invoices must reflect correct payment terms, amounts, and supporting details such as invoice number, and internal notes. Invoices are sent to the correct client contact. QuickBooks, Asana, and IRH Contracts are used together to manage all of the above details.
• Payments are monitored and documented per company policy with appropriate follow-up for past-due accounts. Accounts Receivable Specialist monitors incoming payments through QuickBooks and accounting reports. For payments not received on time, Accounts Receivable Specialist follows a clearly defined escalation process to engage clients and internal teams. Updates are accurately documented in Asana to reflect payment status and escalation when necessary.
• Sensitive financial documents and information are handled and stored securely. Accounts Receivable Specialist ensures sensitive data is not shared outside of least privilege as dictated by company policy and shared only through designated means as dictated by Fertility Bridge's Sensitive Information SOP. All ACH authorization forms, invoices, and related financial information are stored in approved, access-controlled folders.
• Invoicing and follow-up processes are maintained and continuously improved through automation and documentation. Accounts Receivable Specialist ensures the SOP, task templates, QuickBooks invoicing templates, invoice timing, and all other process items are kept up to date. Accounts Receivable Specialist looks for opportunities to streamline tasks via automation and thoroughly tests the automation to ensure no details are missed in using the automated process.

• Quickbooks account with all previous invoices.

• Standard Operating Procedure (SOP) for first-time and recurring invoices.

• Templates and work instructions for QuickBooks, ACH, and follow-up communication.

• Task tracking system in Asana with timelines and invoicing triggers.

• Contracts with standard language to support routine invoice processes.

• Access to the accounting team previously completed these tasks.

• Company Administrator working with and training on process during transition period.

What we don't have (YET) for you to achieve your outcome(s)

• Some clients remain on individualized schedules through the end of their current contract.

• An automated connection between Asana, QuickBooks, contracts, etc to reduce double entry

• A centralized, real-time dashboard to view aging invoices and follow-up history.

• Bank access for real-time updates on deposit status.

• The process was not previously documented, so there is likely room for improvement.

• Employee or contractor must specify exactly what is required to achieve outcome
• Must be accountable in Asana
• Must create Fertility Bridge assets in Fertility Bridge drives using Fertility Bridge account
