This is a specialized role in handling end-to-end documentation issues, including coordinating with shippers, monitoring freighting and collections, issuing Ocean Bills of Lading (OBLs), and resolving documentation disputes. The successful candidate will have excellent organizational skills, attention to detail, and effective communication.
Key Responsibilities:
- Coordinate with shippers to ensure timely submission of Shipping Instructions (SI) and draft Bill of Lading (BL) preparation.
- Control deviations from standard procedures regarding BL clauses before printing OBL.
- Handle draft submission and amendments.
- Issue OBL within 24 hours of vessel departure.
- Manage document correctors (Customs, Manifest, OBL).
Freighting and Printing:
- Match auto-freight from Automated Terminal (AT) with agency collections to detect discrepancies.
- Verify differences with ZIM offices against agreements.
- Manage invoice ordering and printing.
- Submit OBL to Back Office within 24 hours of departure.
Documentation:
- Handle Import/Export manifest timely.
- Prepare and send Advice of Nomenclature (A/N).
- Match loading/discharge information with terminal lists.
- Submit Export Manifest no later than 24 hours after vessel departure.
- Handle Import/Export correctors within 24 hours or before Customs declaration.
- Manage demurrage billing.
Internal Interfaces:
- Coordinate with Finance to match collections.
- Propose solutions for problems and bottlenecks, considering clients' needs.
- Conduct regular meetings with Customer Service Manager/Client Services Representative and Back Office to resolve issues.
Requirements:
- Academic background in International Trade.
- Experience in a global company or shipping industry is advantageous.
- Proficiency in Microsoft Office, especially Excel.
- Excellent command of English (speaking, reading, writing).
This role requires strong organizational skills, attention to detail, and effective communication.
