Job Title: Executive Support Specialist

This role involves supporting high-level executives with their daily operations, ensuring seamless execution of tasks and responsibilities.

  • Main Responsibilities:
  • Manage the executive's schedule, prioritize tasks effectively, and provide administrative support.
  • Support the leadership team with demands and requests, ensuring timely responses.
  • Prepare meetings, organize events, and ensure smooth execution.
  • Create purchase orders, follow up with suppliers, and organize calls and departmental meetings.
  • Key Activities:
  • Set up internal and external meetings, including webmeetings, and collect information for local, regional, and global reports.
  • Organize meetings and visits for the executive and department, providing administrative support for visitors.
Administrative Role:

Ensure organization of office events, scheduling meetings, and taking minutes of staff meetings.

Service Delivery:
  • Manage content providers for social networks, handle internal communication, and event management.
  • Master calendar and schedule management, collaborating with internal and external vendors to manage office operations.
Requirements:
  • Strong planning and organizational skills, focusing on information seeking, processing, and sharing.
  • Good problem-solving skills to deal with unexpected deadlines and requests.
System Proficiency:

Orbit, SAP, SRM, Sharepoint, Teams.

Education and Qualifications:
  • Bachelor's degree required or in progress.
  • Experience working in a global, multi-cultural organization preferred.
  • Excellent communication and English language skills.
  • Knowledge of local regulations and processes.
