Executive Support Specialist
Are you a highly organized and detail-oriented professional with exceptional communication skills? Do you have experience in providing administrative support to senior-level executives?
Key Responsibilities:
- Manage complex calendars, coordinate travel arrangements, and prepare itineraries for domestic and international trips.
- Screen incoming calls, determine priority levels, and handle sensitive information with discretion.
- Arrange meetings, conferences, and events, ensuring seamless logistics and catering services.
- Respond to emails, messages, and phone calls on behalf of the executive, maintaining a high level of professionalism and confidentiality.
- Reconcile and complete expense reports in a timely manner.
- Develop and maintain a strong network of contacts, both internally and externally, to provide exceptional support and service.
Required Skills and Qualifications:
- Excellent interpersonal, communication, and organizational skills.
- Fluency in English and Portuguese; Spanish is an asset.
- Ability to work effectively in a fast-paced environment, prioritize tasks, and manage competing deadlines.
- Strong analytical and problem-solving skills, with the ability to think critically and outside the box.
- Proven experience supporting C-Suite executives or managing directors, with a minimum of five years' experience in an administrative role.
- High level of integrity, discretion, and trustworthiness, with the ability to maintain confidentiality and handle sensitive information.
- Team player with a positive attitude, approachable demeanor, and commitment to delivering exceptional results.
