What You'll Do:

Key Responsibilities
  • Coordinate projects and priorities for senior executives
  • Prepare project status updates and materials for regular communication with senior leadership
  • Manage project timelines and ensure smooth execution
  • Own calendar coordination using systematic scheduling frameworks
  • Anticipate project needs before meetings and important calls
Project Management & Team Coordination
  • Review meeting notes, extract action items, and distribute to project teams
  • Prepare project agendas for internal meetings and ensure timely completion of tasks
  • Create weekly project status reports following established procedures and compile monthly project reporting
  • Coordinate project deliverables between design and development teams
  • Track project progress and ensure timely completion
Marketing Project Management
  • Manage social media content projects using our internal tools
  • Coordinate graphic creation projects with the design team, manage approval workflow, and schedule content publication
  • Oversee sales follow-up projects, meeting research coordination, and email campaign management
  • Support client relationship projects and lead nurturing initiatives
Process Optimization Projects
  • Identify and manage process improvement initiatives when capacity allows
  • Coordinate administrative projects to maintain operational efficiency
  • Research and manage optimization opportunities and workflow improvements

What We Need:

  • 3+ years in project coordination or project management roles
  • Strong project management and team coordination skills
  • Experience managing marketing and sales projects
  • Self-starter mindset: Proactive coordination and anticipation of project needs
  • Systems-oriented approach: Creating project workflows that ensure smooth execution
