Academic Program Associate Job Description

This role is responsible for coordinating calendars, meetings, and school visits. The successful candidate will prepare agendas, notes, and follow-ups for partner interactions.

  • Assist with the onboarding of new students and programs, ensuring required forms, access, and orientation steps are completed.
  • Maintain accurate records of school performance, teacher training, and student progress.
  • Draft and send routine communications to partner schools; escalate issues promptly to the Coordinator.
  • Support the integration of curriculum/resources at partner schools, including basic troubleshooting.
  • Assist with logistics for teacher professional development (webinars, workshops), including invites and attendance tracking.
  • Organize and facilitate online and in-person training sessions for educators and staff.
  • Monitor routine academic indicators (attendance, assignment completion, grade pulls) and prepare summary reports.

Qualifications and Skills

  • At least 3 years of experience in K-12 education and school coordination or administrative support; an education/EdTech background is preferred.
  • Strong organization and project coordination skills; able to manage multiple priorities across schools.
  • Ability to develop, deliver, and adapt academic training content.
  • Excellent written and verbal communication skills; fluency in Portuguese and English (Spanish is a plus).
  • Familiarity with instructional technology and online learning platforms; quick to learn new systems.
  • Detail-oriented, proactive, and service-minded; able to flag risks early and follow through on actions.
  • Bachelor's degree preferred (Education or related field).
  • Commitment to the mission and working in diverse school environments.
