Project Coordinator/Manager Role

About the Job:

  • Coordinate projects and priorities for senior executives.
  • Prepare project status updates and materials for regular communication with senior executives.
  • Manage project timelines, ensuring all tasks are completed on schedule.
  • Owning calendar coordination using systematic scheduling frameworks.
  • Anticipate project needs before meetings and important calls.

Key Responsibilities:

  • Review meeting notes, extract action items, and distribute them to project teams.
  • Prepare project agendas for internal meetings and ensure weekly team calls stay on track.
  • Create project status reports following established procedures and compile monthly project reporting.
  • Coordinate project deliverables between design and development teams.
  • Track project progress and ensure timely completion.

Required Skills and Qualifications:

  • 3+ years in project coordination or project management roles.
  • Proficiency in required tools (ClickUp, HubSpot, Fireflies.ai, Slack, Google Meet).
  • Strong project management and team coordination skills.
  • Experience managing marketing and sales projects.
  • Self-starter mindset: Identifying and initiating valuable projects when capacity allows.
  • Proactive coordination: Anticipating project needs rather than waiting to be told.
  • Systems-oriented: Creating project workflows that ensure nothing is missed.
