We are seeking a proactive, results-driven Executive Operations Manager to provide comprehensive support to a dynamic entrepreneur managing two rapidly growing businesses across Europe and Brazil. The entrepreneur is based in Rio de Janeiro, and this role will focus primarily on overseeing the business side of operations, enabling the entrepreneur to focus on high-level strategic growth. As the Executive Operations Manager , you will act as the central hub of business operations, overseeing communications, projects, and team management. You will also be responsible for supervising a dedicated Personal Assistant who will handle personal and household tasks, ensuring the entrepreneur’s time is fully optimized. You will take ownership of business operations, solve problems proactively, and ensure everything runs smoothly without constant oversight. If you are a strategic thinker who can balance the demands of business growth while managing operational details, this role is for you. 1. **Business Operations Management:** - Oversee the daily business operations across two companies in Europe and Brazil, ensuring all business activities are aligned with the entrepreneur’s objectives. - Manage project timelines and ensure key deliverables are met by coordinating with internal teams, contractors, suppliers, and external stakeholders. - Establish and maintain operational processes that improve efficiency and support business growth. 2. **Team & Stakeholder Coordination:** - Serve as the primary point of contact for all internal teams and external stakeholders, ensuring smooth communication and task follow-up. - Manage relationships with key partners, suppliers, and service providers, ensuring that tasks are completed within set timelines without the need for the entrepreneur’s direct involvement. - Proactively track and manage ongoing projects, keeping the entrepreneur updated on progress and addressing any bottlenecks. 3. **Executive Communications:** - Manage all incoming business communications, including emails and messages, prioritizing critical issues and delegating responses where appropriate. - Draft business correspondence, reports, and presentations as needed. - Set up systems to streamline business communications and reduce unnecessary distractions for the entrepreneur. 4. **Strategic Planning & Goal Management:** - Help the entrepreneur stay focused on long-term business goals by prioritizing tasks and minimizing distractions from day-to-day operations. - Ensure that the entrepreneur’s time is spent on high-impact, strategic activities by proactively managing the operational aspects of the business. - Create and manage systems to track progress on key business goals, projects, and initiatives. 5. **Supervision of Personal Assistant:** - Oversee the work of the Personal Assistant responsible for managing the entrepreneur’s personal and household tasks, ensuring that all personal responsibilities are handled efficiently. - Act as the point of escalation for any personal tasks that require additional support or decision-making. - Ensure seamless coordination between business and personal tasks, so the entrepreneur’s time is optimized. 6. **Problem-Solving & Decision Making:** - Anticipate and solve operational problems before they escalate, ensuring that the entrepreneur’s focus remains on key business priorities. - Make decisions independently where necessary, using strong judgment to manage day-to-day business operations without constant oversight. - Handle last-minute changes, emergencies, or new priorities with calm efficiency, ensuring minimal disruption to the business. - **Experience:** - Senior experience as an Executive, Operations Manager, or in a similar role, with a strong focus on business operations and team management. - Proven track record of supporting entrepreneurs or business leaders in managing day-to-day business functions and achieving long-term goals. - Experience working with international or remote teams, including managing communications and coordinating projects across time zones. - **Skills:** - Strong communication skills (written and verbal), with experience in drafting business correspondence and reports. - Exceptional organizational and project management skills, with the ability to oversee multiple workstreams. - Proficiency in using productivity tools (email management, project management software, etc.) to manage business operations efficiently. - Advanced problem-solving skills, with the ability to take initiative and make decisions under pressure. - **Strategic & Operational Thinker:** You are equally comfortable developing and implementing operational strategies while overseeing the detailed day-to-day tasks that keep the business running smoothly. - **Proactive & Self-Sufficient:** You take initiative, identify problems before they arise, and make independent decisions to keep business operations moving forward. - **Highly Organized:** You excel at managing multiple projects, priorities, and deadlines simultaneously, ensuring that nothing falls through the cracks. - **Team-Oriented Leader:** You are comfortable supervising others, providing guidance, and ensuring that tasks are delegated appropriately. You’re able to manage the Personal Assistant’s workload and ensure coordination between personal and business tasks. - **Adaptable & Flexible:** You thrive in fast-paced environments where priorities can shift rapidly, and you are comfortable adjusting your approach to meet changing business needs. - **Culturally Aware:** You have experience working across different regions and are comfortable managing teams and stakeholders from diverse cultural backgrounds
