The Commercial Operations Executive is responsible for assisting our Land and Expand sales teams in the US and Latin America with a range of administrative and sales support activities to provide a positive customer experience while ensuring timely and accurate delivery of System1 projects.
What will you be doing?
- Project Management
- Creating projects in our internal CRM and facilitating entry of project details
- Supporting the ad testing process through internal platform system ad upload workflows
- Coordinating project statues between Delivery, Research & Guidance, and Sales teams
- Managing client workspaces in internal platform systems in coordination with Sales team
- Ensuring data quality in ad testing and research, in coordination with Research & Guidance, and Sales teams
- Sales Administration
- Managing Purchase Orders and Statements of Work in coordination with Sales and Finance teams
- Overseeing project approvals and invoicing in coordination with Sales and Finance teams
- Obtaining cost confirmations from clients in coordination with Finance team
- Coordinating new client onboarding processes
- Coordinating the delivery of sales & marketing assets to current and prospective clients
- Client Communication
- Communicating project statuses and delivery timelines in coordination with Delivery, Research & Guidance, and Sales teams
- Coordinating and facilitating client meeting scheduling
- Internal Operations
- Coordinating internal research projects
- Producing ad hoc reports for Sales teams in Excel, PPT and PowerBI
- Managing internal folders and documentation
- Surfacing sales performance metrics for Commercial Operations and Sales teams
- Responding to internal support tickets to address system bugs and client requests
- Internal Enablement
- Managing internal training content & assisting with training
- Communicating internal process updates
- Supporting Sales teams with research project questions
- Liaising with operational teams to ensure timely production of research projects
You need to be this kind of person:
- Meticulous and process driven and focused on results
- Excellent communication skills
- Organised, proactive with a positive can-do attitude
- Ability to be a self-starter but also be a team player

You need to have the following:
- Fluency in Portuguese and English
- MS Office suite proficiency
- Ability to troubleshoot issues
- Ability and confidence to be the first point of contact
- Comfortable liaising with teams on progress of projects
- Attention to detail and commitment to meeting deadlines
