Team Overview:

We are seeking an organized and detail-oriented Talent Coordinator to support our global Talent Acquisition (TA) team by managing interview scheduling and background check coordination. As an individual contributor, you will play a critical role in ensuring a seamless and positive experience for candidates, recruiters, and hiring managers across regions, including Brazil, Spanish-speaking South America, Mexico, Egypt, and potentially Australia. This operational role focuses on high-volume coordination and exceptional customer service, contributing to the efficiency and success of our global hiring process.

Role Responsibilities:

  • Coordinate and schedule 10-20 interviews per day across global regions (Brazil, Spanish-speaking South America, Mexico, Egypt, and potentially Australia), ensuring timely and accurate communication with candidates and interviewers.
  • Arrange virtual and in-person interview logistics, including calendar invites, video conferencing links, and room bookings, using internal systems and scheduling tools.
  • Manage the background check process for candidates post-offer acceptance, coordinating with internal systems and ensuring timely completion while maintaining compliance with global standards.
  • Act as the primary point of contact for candidates, recruiters, and hiring managers, providing clear and professional communication to ensure a positive candidate experience.
  • Maintain accurate records of scheduling and background check activities within internal TA systems, ensuring data integrity and confidentiality.
  • Collaborate with global TA teams and hiring managers to resolve scheduling conflicts and address candidate inquiries promptly.
  • Proactively monitor and follow up on interview and background check statuses to ensure smooth progression of the hiring process.
  • Deliver exceptional customer service to candidates and stakeholders, fostering trust and professionalism throughout the recruitment journey.

Role Qualifications:

  • 1+ years of experience in talent acquisition coordination, HR operations, or a similar role involving scheduling or administrative support.
  • Exceptional organizational skills, with the ability to manage high-volume scheduling interviews daily) across multiple time zones and regions.
  • Strong attention to detail, ensuring accuracy in scheduling, communication, and background check coordination.
  • Proven customer service orientation, with experience delivering professional and positive interactions with diverse stakeholders, including candidates, recruiters, and hiring managers.
  • Fluency in English and proficiency in Spanish. Portuguese is a plus for regional coordination in South America.
  • Ability to work in a hybrid model based in Mexico City, with flexibility for virtual collaboration across global time zones.

Preferred Skills and Attributes:

  • Familiarity with Applicant Tracking Systems (e.g., ICIMS) or HR tools (e.g., SuccessFactors) is desired but not mandatory.
  • Knowledge of HR compliance and global privacy regulations (e.g., GDPR, LGPD) related to background checks is preferred.
  • Experience working in a global, fast-paced environment, coordinating with cross-functional teams and managing diverse stakeholder needs.
  • Proactive problem-solving skills, with a knack for anticipating and resolving scheduling or process challenges.
  • Strong communication skills, with the ability to build rapport and maintain professionalism under pressure.
