Role OverviewWe are seeking an organised, confident, and proactive individual to support our sales department in project coordination from start to finish.This role ensures seamless transition of sales opportunities into well-coordinated projects—managing communication, documentation, scheduling, and follow-ups while supporting both clients and internal teams.Key Responsibilities:1.Sales Support & Opportunity ManagementAssist sales representatives by coordinating all project details from inquiry to proposalPrepare quotes, proposals, supporting documents, and client communicationsReview project scopes to ensure clarity, accuracy, and completenessTrack sales pipeline activities and follow-ups through CRM2.Project Coordination & SchedulingDevelop project timelines, schedules, and task listsCoordinate with operations, technicians, vendors, and subcontractorsMonitor project progress and proactively resolve delaysEnsure materials, equipment, and resources are prepared on time3.Communication & Client CoordinationProvide clear updates to clients regarding project status, schedules, and next stepsTranslate technical details into simple, understandable informationMaintain positive client relationships and support repeat businessAct as the communication link between sales, operations, vendors, and clients4.Documentation & OrganisationOrganise and maintain all project files, documentation, and communication historyPrepare change orders, reports, close-out packages, and audit-ready recordsEnsure all documents meet quality and compliance standards5.Financial & Administrative SupportAssist with budgeting, cost estimates, procurement, and tracking expensesReview vendor pricing, purchase orders, and order confirmationsSupport sales in controlling project profitability and margins6.Risk Management & Problem SolvingIdentify inconsistencies in scopes, drawings, or client requirementsFlag risks early and recommend solutions before issues impact the projectResolve conflicts or misalignment between teams or contractors7.Leadership & OwnershipTake initiative and make decisions independently when neededKeep team members accountable for deadlines and deliverablesMaintain a high-standard workflow with strong attention to detailRequirements and QualificationsExperience in project coordination, sales coordination, or operations supportBackground in quoting, preparing proposals, or reviewing scopes of workStrong decision-maker who can work independently and confidentlyExcellent verbal and written communication skillsHigh-level organisational skills with the ability to manage multiple active tasksStrong experience using office software and CRM systemsWhy You Will Thrive Here100% remote role with stable weekday scheduleWork with a respected security and automation provider in North AmericaGrowth-focused environment with opportunity to advanceSupportive leadership and well-defined workflowsCompetitive compensation and benefits
